  2. Documents: force a search of existing Promapp documents before adding a document

    Documents: force a search of existing Promapp documents before adding a document

    There is currently no way (other than rigorous training) to ensure editors check for the existence of a document in Promapp before adding a new document into a process. This results in many duplicated documents.
    Proposed solution: Restrict the first step of creating a document to a search of documents in Promapp to verify if the document has already been created in Promapp. Once verified that it does not exist provide the option then to either Upload or Link the new document.

  3. Change the display of process names for linked processes with variations

    Currently when a Process Variation is linked into another process only the name of the process is shown without the variation title (refer to Nintex Support Case #00328577).
    Suggestion: display the Process Name and the Variation Title e.g. Book Travel:: International for all linked processes that include variations.

  4. Past due reminder

    Would like the ability to send an e-mail notice automatically once a checklist goes past its due date. Would work best with the "target dates for activities" feature was included, but not absolutely required to make this work. An e-mail could be sent to anyone with an open item that is holding the entire checklist past due.

  5. Search Keyword added & a configurale report using Keywords

    Context:


    1. Overall, when in the initial dashboard(see below fig 1:), our people should be able to quickly search off the Dashboard (or using the top right search window) for a “Keyword” (in this case will be for an example, the keyword – “Response Plan”).

    2. If the Promapp process was set up correctly in “Edit” >> “Summary” (see below fig2:), and in “Search Keywords” near bottom of page (in this example, keyword entered is “Response Plan”) and the “Process Group” has been correctly allocated (in this case “Crush” – see fig3:), the result of the Keyword search for Response Plan by…

  6. Process Methodology Checker

    I would like to request the ability to add a 'process methodology' checker in the process approval workflow, specifically before the process reaches the process owner/expert for approval.

    Usually this is done by the publisher (or Promaster) but we've found that often the methodology requires more work than the process content (as in our case, it’s the Process Expert that are documenting and submitting the processes) so the approval workflow becomes:
    1. Expert documents/edits process
    2. Expert submits for approval
    3. Owner approves
    4. Promaster declines and provides feedback on methodology (repeat steps 1-4 until process is ready to be…

  7. Actual times for activities.

    Add a way to capture timeframes, active times for undertaking an activity. You could have a start, pause and stop buttons which would automatically calculate how long an activity took. Or the user enters how long the activity took by manually entering a time.

    Reassign Supervisors of Training roles without having to schedule new training as if you do this then you have to re-upload all evidence or supporting documents. People change roles and supervisors often and it becomes very time consuming rescheduling training when it is not due.

  10. Display PO & PE role title

    Currently, in the Summary menu, only the names of the Process Owner and Process Expert are shown. It would be useful if their roles are also listed against their names, so users can understand in what capacity they are the Owner and Expert.

  11. function for an automation of the checklist where the process already has a checklist

    If there is a checklist in the process and the process has been changed to a new version, the checklist should be coming with the process as the process is generally reviewed but not checklist is reviewed as a part of reviewing. Current Promapp provides the version history in the change log but you have click to the version number to see the details. It is creating more steps for a pro master or user to review of the process improvement by adding more admin work. which means it require more time to go over the process.

  12. word search bar within the process and replacement of word at once within the process

  13. Link entire process or process group as risk treatment

    Instead of being restricted to only linking one activity to a risk as a control/treatment, it would be helpful to be able to link the entire process, or a group of processes. Often multiple activities within a process combine to mitigate or manage the risk.

  14. Add a 'process' & 'status' column on the Checklists page

    On the Checklists page, include a column for the process linked to the checklist & for the current status of the checklist (Active/Completed/Discarded). Otherwise when you have numerous checklists + all renamed, it becomes impossible to know what processes they are related to.

  15. Policy links shouldn't display them as "Processes"

    When a Policy link is added to a Process (e.g. within a Note in the Process), the link reads "Process" which can be misleading.

    For example, at CST we have a Policy that describes when funds leaving an account should be processed as a Withdrawal vs. a Reversal (see attachment 1).

    But when that Policy is linked to a Process, the link doesn't say "Policy", it says "Process" see attachment 2). Ideally, the link should say Policy.

  16. Either include an auto-save option or build a warning that alerts user they are about to be timed out

    Users who are interrupted with flow of work sometime lose effort when they go afk for a while (is it 2 hours?), then potentially pick up where they left off only to learn they have lost all their recent work because the system logged them out (time out) already. There is no notification at all... ideally one to warn it will occur soon, and another that says they have been timed out.

    I wonder if an auto-save feature would help... perhaps auto-save doesn't change versioning and that's still manually controlled when physically selecting Save.

    We had a team member searching for a process, she wasn't able to find the process but knew who was a part of the RACI and tried to search their name. It might be worth adding in the RACI as a search result.

  18. Require login through SSO for minimode links

    It would be great to have a configurable option to require users login through SSO prior to accessing a minimode link. This would improve the accuracy of the user view counts and our adoption tracking. Right now, we avoid the use of minimode links because anonymous view counts don't tell us enough.

  19. Please provide the ability to sort risks via another key than Risk Database ID for risks of the same residual value. It is too limited!

    When producing a risk register report you should be able to specify how the risks are sorted, other than just database ID, so they can be presented in groups of common risk residual, and then by another sorting key such as date, alphabetic or a tag etc. The current Risk ID is just too limiting when there are sensible reasons to have the arranged othwerwise.

  20. Reports to include stakeholder and additional approver box

    When printing reports there needs to be an additional tick box that allows the Additional approver/s and Stakeholder/s to be listed in the reporting - this would provide full transperency over who is attached to a process and enable reviewing if the right people are aligned to the right process.
    Currently, there is no way to "swap out" either of these as easily as an owner/expert and therefore to maintain the integrity of process shared reponsibility a report would allow us to understand what may need to be updated.
