  1. Search role list when doing user maintenance

    We have a lot of roles and you need to scroll down the list to add or change a role. It would be helpful to have a search capability in this pop up box, or be able to jump to the section by alphabet.

  2. Allow the Add Task, Add Note, Add Document function to scroll down when adding tasks

    When adding tasks to an activity you are required to scroll up to the top of the activity to add a note or attach/link a document. If the system would freeze the task bar at the top of the screen so the functionality was always available that would allow for easier use. This could be set up similar to the Add Activity, Add Process Link functionality that currently exists.

  3. Delegation of Process Responsibilities

    There is no way to delegate your approvals when going on annual leave. There is the capability to bulk transfer Process Experts or Process Ownership but updating Additional Approver and Publishers has to be updated by each individual Process

  4. Show what checklists users are assigned to

    Would it be possible to show what checklists users are assigned to under their User profile e.g. like we can see which processes and groups they're assigned to under their user profile. This would assist to re-assign checklist tasks for those users who leave. At the moment there's no visibility over any checklists a user may be involved in from a system management level.

  5. Process Methodology Checker

    I would like to request the ability to add a 'process methodology' checker in the process approval workflow, specifically before the process reaches the process owner/expert for approval.

    Usually this is done by the publisher (or Promaster) but we've found that often the methodology requires more work than the process content (as in our case, it’s the Process Expert that are documenting and submitting the processes) so the approval workflow becomes:
    1. Expert documents/edits process
    2. Expert submits for approval
    3. Owner approves
    4. Promaster declines and provides feedback on methodology (repeat steps 1-4 until process is ready to be…

  6. Enable adding parallel activities in process variation

    I would like to be able to add tasks in parallel in a process version. I can't do this and I can't change in the standard process either once I created variations.
    The point here is to make sense of the process with tasks that start and are carried out at the same time. It is therefore not possible to use notes or a mini process to express this.
    I find that such a restriction really blocks the use of process variations.

  7. Declining approval or publishing request by at least one Promaster should return process to draft or edit state

    If a Promaster declines or rejects an item in the approval/publishing queue, the item should be returned to draft/revision state, preferably with a notification to the owner/expert on why.

    Current state is that ALL Promasters must decline/reject item before it disappears from approval/publishing queue. This leaves the item open for accidental approval or publishing.

  8. Change the display of process names for linked processes with variations

    Currently when a Process Variation is linked into another process only the name of the process is shown without the variation title (refer to Nintex Support Case #00328577).
    Suggestion: display the Process Name and the Variation Title e.g. Book Travel:: International for all linked processes that include variations.

  9. Improve the archiving functionality

    We have had a replacement of one of our key legacy systems with many of our processes now irrelevant as a result. The task of cleaning up has proven to be time consuming, frustrating and impossible to do within the application. I appreciate the concern about safely archiving the processes, but not at the cost of losing engagement of our staff with irrelevant processes now residing in our Promapp and being included in searches, reporting and dashboard.

    Features that would improve the archiving process from my point of view are:

  10. Ability to print previous versions of processes in order to demonstrate improvements to others

    If a process has gone through some improvements it would be beneficial to print an older version of the process to demonstrate what improvements have been made and to estimate time savings. The "Compare to previous version" will only work for times where all the changes where made in one go but iteration is often required to gain the most improvements

  11. Show user a different message for unpublished processes (not access denied)

    Sharing processes is the great strength of Promapp, but we still find that some experts/owners get confused about who can/cannot see processes that are not yet published.

    Quite regularly I will get requests for "access" to Promapp which are actually requests for an draft process to be published. Because the user get an "access denied" error, it appears to be about permissions. A more helpful message would be something like "this process has not yet been published so is hidden to avoid confusion. Contact the process expert and/or owner for an update." then list the owner and expert.

  12. Build sort of wizard to help us undo process linkages for deletion

    Perhaps this is just rookie error but my colleagues and I have had very difficult time figuring out all the the linkages between processes and process groups that need to be undone in order to archive and delete. I suspect there could be better prompts or automated breaking of links

  13. Named stakeholders don't show in user management

    Individuals can be named in a process as stakeholders and approvers. This is helpful but this isn't reflected in the user management screen.

    We've just discovered that someone who left the company (and had their Promapp account expired) is still marked as a stakeholder in a number of processes.

  14. Add Additional approvers into Ownership/Rights

    Currently there is only functionality to tranfer to another user owner/expert rights - additional approver rights needs to be picked up in this function

  15. Minimode sharing

    We need a safe guard by password or link expiry when sharing process through minimode. Currently processes shared via minimode can be viewed by any competitors if they possess the link. The current feature of being able to share processes to those users who have access rights is neither useful in our case, since in that case we could just use the the website link. If this feature would be enable we could have our processes shared in a more interactive and comprehensive way to third parties for compliance or communication purposes.

  16. Ability to update users profiles using and AD connector

    Promapp has no true AD connection even with SSO. Using the AD connector and a Promapp connector, be able to set Promapp roles and global variations in a dynamic was. so that when new people get hired they can be automatically provisioned in PROMAPP

  17. Promasters given ability to override/correct training completed dates

    If one of the staff enter the wrong date, or accidentally leave the completed date as defaulting to today's date you can't change it without contacting promapp support. Promasters should be able to do this.

  18. Tags

    Currently the use of # to assign a Tag in process text provides a select list of all Tags which includes System, LEAN, etc.
    The list presented can be very large and daunting to Users.
    Can an improvement be introduced to either:
    1. introduce the ability to filter the Tags List presented by Tag Type e.g. System, LEAN, etc first then have the ability to select the Tag required in the text, or
    2. Instead of using # for all Tags introduce the use of another special character for each Tag Type e.g. # for Systems, $ for LEAN, etc. …

  19. Make document approval workflow similar to process approval workflow

    We have the document approval workflow (DAW) turned on. The current logic behind DAW is that document approvers are either the process group owners or (if there are no process group owners) the Promaster. Our process group structure does not lend itself neatly to having process group owners. Currently, our options are to add process group owners to process groups where they don't truly have accountability (not really an option), or have Promasters approve documents that they don't truly have accountability over either. We suggest the ability to set document approvers at the document level (not process group level).
