  1. Increase number of roles able to be assigned to an activity to more than 6

    Currently there is a limit of 6 roles able to be assigned to any activity. This has lead to having to create an increasing number of group roles or responsibilities purely to use for the process e.g. xx requestor, xx approver, etc. I would like to be able to add all of the roles that will perform this action. Creation of additional roles creates an unnecessary administrative burden.

  2. Case sensitive glossary

    It would be good to have a Glossary that is case sensitive. Currently IT (Information Technology) is being tagged every time we use the word 'it'.

  3. Report on broken links

    It would be extremely useful if Promapp could at the very least produce a report on any broken web links in processes (ie. links to intranet or internet that are no longer accurate or available)

  4. Allow the Add Task, Add Note, Add Document function to scroll down when adding tasks

    When adding tasks to an activity you are required to scroll up to the top of the activity to add a note or attach/link a document. If the system would freeze the task bar at the top of the screen so the functionality was always available that would allow for easier use. This could be set up similar to the Add Activity, Add Process Link functionality that currently exists.

  5. Ability to add timeframe across activities.

    Allow a number of days etc. to be prescribed over multiple activities so that an overarching timeline can be allocated. For example from activity 1 through to 10 takes 30 days.

  6. Restrict access to a minimode once a process has been archived

    Please can Minimode advise "Sorry, this has been archived, no longer available' message once a Process has been archived.

    Currently it allows access to the archived (empty) Process

  7. Mass transfer of @TODO (eg. when someone leaves the company)

    When you transfer Ownership (Owner/Expert) of a process, you should also get the option to transfer any @TODO within that process that are assigned to the same person.
    OR
    Facility to transfer @TODO that are assigned to a particular person on mass.

  8. Make attachment types visible in the document library

    Even if staff search our document library to check whether a link has already been created, they are unable to see the attachment type (ie form, guide, information, training, policy), so when they then go to attach the existing link to their process they sometimes select a different attachment type and then their search doesn't locate the document (even though they know it's there!)

    If the attachment type is visible in the document library their frustration levels will be reduced.

  9. Trigger email sent to owner/experts of dependancies/inputs/outputs when a change to the process occurs

    When a change is made to a process a trigger email should be sent to any Dependancies/Inputs/Outputs process process owners/experts to see if the change effects their process - this would allow end to end thinking and visibility of changes

  10. changing owner expert automatically publishing

    There is currently an issue with the system that violates the whole approvals framework.
    Whenever someone leaves the organisation or changes role there is no way to bulk transfer a processes still in development to a new resource without the process automatically being published which then bypasses the approvals process. We are a small organisation and have at least one person join and leave a week. To review all of the processes to see if they are ready for publishing would be an administration nightmare.

  11. Disable 'Submit for Approval' while @TODO items are present

    There are instances when process editors overlook resolving @TODO items prior to submitting processes for approval. It would be helpful if the system could prevent the submission of processes while there are unresolved @TODO items present. Perhaps when the user goes to click 'Submit for Approval' a window could appear advising that there are unresolved @TODO items and call out where in the process these are.

  12. Process Review - Reviewed It vs Publishing Changes

    Currently for an 'Out of Date' process:

    If no changes are required, the Process owner/expert will go into their "My Reviews" page, click "Reviewed It" and provide a comment like "No changes required".

    If changes are required, the Process owner/expert will go into the process, make the necessary changes and get it published. However this still required the Process owner/expert to go back into "My Reviews", click "Reviewed It" and provide a comment (which will be the same comment as the comment left for submit for approval).

  13. Multiple outputs when using decision diamond

    When using a decision diamond the process ends in two different places, which each have a distinct output. Unfortunately when entering an output there is no way to define which part of the process produces that specific output. The map shows both outputs flowing from both ends of the process.

    The ability to choose from a list of 'edit types' when editing a published process eg grammar/punctuation, change of role, major change to activity, minor change to activity

  16. Review all images and documents attached to a process under the process review, rather than separately

    With hundreds of processes requiring review that include 10 or more screenshots or videos (images) it is painfully time consuming going through each item individually for each process. As these images also require a review it creates hundreds of items for review in the backlog.

    As all images, videos, and documents attached to a process are reviewed at the time of the process review it would awesome if when a process is reviewed that all the attachments are considered reviewed and marked as complete at the same time.

  17. Improve Archive Functionality to allow easy identification of old processes

    It would be a great improvement if you could add a 'Date archived' column to the Archived area of Promapp. Currently I have to run a report and then manually type in all the old archived process names into the archive area to delete them. If the area had a date I could sort by this and just delete the older ones. Would also like an ability to bulk delete in the archive area so promasters don't have to delete one by one. Would also be helpful to have an export to csv option in the archive area to allow…

  18. Show draft/unpublished processes that are using documents

    Documents cannot be deleted if they are attached to a published process (which is fair) however they also cannot be deleted if they are attached to an unpublished process, which is harder to track down.

    This also makes identifying orphaned documents much harder since there are false positives.

    Showing the unpublished processes (along with an indicator) would make this much easier.

  19. Process and Document Review dates configuration more flexible

    Review dates should calculate from the date the review is DONE not the day it is due.

    review dates should be more flexible - if review is done in the middle of the review period why can't we mark it as reviewed and reset the schedule?

  20. Ability to separate image approvals from document approvals

    Ability to separate image approvals from document approvals. We had document approvals switched on, but found our approvers were getting inundated with approval requests for images, which are predominantly screenshots to attach to tasks. It would be handy if you could have document approvals turned on but image approvals turned off.
