  1. Ability to add text/note beneath a linked process

    It would be helpful to be able to add text beneath a linked process to add context or specific instructions within a wider process.

    It would also be useful to be able to edit the name of the process to fit in to the wider process that it's linked within.

  2. Allow PO/PE to respond to feedback by replying to email directly, instead of having to go into Promapp site

    Currently the system automatically emails Process Owners and Process Experts when a piece of feedback is received against a process.

    It would be much easier for the users to respond to feedback if they did not need to open up Promapp and if instead, the user replied to the automated email with their response. Similar to how Nintex Cases work, if support email you and you reply back to the email the response is automatically logged the case without you having to go into Customer Central.

  5. Remove review dates from archived processes so they don't flag

    Archived processes are also listed under [Processes due for review] on [My Dashboard] under [My Reviews].

    It would be good if the review dates from archived processes were removed as they were being archived or ignored in generating the report so that archived processes don't appear on the current list for review.

  6. Implement multi-language capability into the Promapp interface (minus help file content)

    What? A minimal viable product could be to make the user interface (the menus by which you navigate around and use to create processes) in some selected languages other than English. Our current need is Chilean Spanish. We don’t think it is necessary to have the help files in different languages if Promapp is initially rolled out into the company in English. The English speakers can teach the others how to use Promapp and this should negate the need to have multi-language help files.

    Why? Getting initial and ongoing engagement is critical to giving Promapp longevity. Anything we can do…

  7. Group approval

    Allow users to be set up as Group Approval at a process level.

    We have a few large Teams that own overall processes - is there a way that we can set up approvers as a group - for example Anna is a process expert, she needs to be an approver of all changes - if John and Mary approve changes Anna is OK with that and trusts them to approve (a bit like delegated approvers) and wants their approval to let the process move to publish without the process waiting for Anna to approve

    I’m not sure if you have imported a Visio into Promapp but we find that the complexity of flowcharts don’t translate very well to the simple narrative provided in Promapp. Check out the Visio import as a test and see if you would even want to do similar with Lucid Chart. I find that by the time I make all the updates needed, it doesn’t save much time to import versus starting from scratch.

  9. Apply promaster role by file structure

    We are a large organisation and have many different Business Units that can access other Teams processes. To enable them to be self sufficient if we could apply the Promaster access at a file level this wouls allow the Teams to be able to add additional approvers and move their file structure around etc without some of the other Promaster functionality

  10. More control over glossary tagging

    Currently, words will automatically tag from the glossary which is a feature we love until it doesn't quite make sense for the context of the process.

    It would be good if you could un-tag a definition similar to how you can untag a system when a keyword is mentioned within your edit page.

  11. Add a drop down when selecting group shortcuts

    Need the ability to filter through files when selecting a process group shortcuts, we have alot of processes and it is hard to establish when they have the same file structure in different BU's where to place the shortcut process.

    Similar to Note - add procedure : where you have a search bar available

  12. Excel Exports to include Process ID

    I think it would be great if the Excel exports includes the Process ID. An example of a use case would be:
    Following up on overdue (review) processes. We would download the report, and follow up with the process owners and experts (outside of Promapp).
    Then if we were to run the report again a week later, we can use the Process ID to filter out the ones we have already contacted.

    We can use Process names at the moment, but that can be changed (in the future) and is not something unique that stays with the process.

  13. Have Promapp auto generate unique reference numbers

    Companies that are accredited by the International Standards Organisation ("ISO") are required to allocate unique reference numbers to processes, forms and policies. This can be quite time consuming and it would be great if Promapp automatically generated and displayed unique identification references for processes and forms. Would be a great customer selling point to ISO accredited companies.

  14. Fix roles when scrolling through a process

    When looking at a large process the roles on the left side at the beginning of the process map are not visible any more when scrolling to the right towards the end of the process map.

    It would be great if this part of the map could be fixed when scrolling through just like in Excel.

  15. Ability to add roles to a responsibility

    As mentioned by Peter on the idea to increase the number of roles allowed to be assigned to an activity …

    The ability to add Roles to a Responsibility (in addition to being able to assign named persons to a responsibility) would be great and improve the communication of process changes to the right staff.

    Currently we only add staff to their job role, not to a generic responsibility as it's just not practical from a maintenance point of view to do so.

    If we could assign a role to a responsibility (or vice versa) that would mean staff receive…

  16. Checklist Items for Tasks

    In the acutal preview checklists are generated for process activites.
    A helpul feature for the user would be checks for tasks. That way he can save his progress once he began to work at an activity.

  17. Ability to transfer documents due for review to new staff

    Having the ability to transfer documents that are overdue for review to new staff will be very helpful. Currently documents overdue for review cannot be transferred. The last person that uploaded the documents is reported on however we have people that have left the organisation and it is difficult as a Promaster to get new staff to review and upload new versions. Having the ability to transfer documents like with processes in the user administration tab etc would be very helpful.

  18. Have the tool bar (Summary, Feeback, Change Log etc. tabs) visible on the Procedure Tab

    When a process has both "Map and Procedure" enable, the toolbar which has the (Summary, Feedback, Change Log, Documents,Targets, Systems, Tag and @Todo) tabs are only visible on the Map view. However when the process only has "Procedure" view enabled, the tool bar is visible in the Procedure view.

    Can we make it so that the toolbar is visible in both Map and Procedure view when the process as Display type = Map and Procedure?

  19. Bring back the ability to edit docs from My Changes Dashboard for Promasters

    Prior to the last release, as Promaster I could click the edit pencil on the far right hand side of the My Changes/Document Changes screen in My Dashboard (we do not have PAW).

    This enabled me to make quickly and easily see the history of the document and make quick changes eg edit the document link name to meet our naming convention. Now I have to find the document in our document library (over 2,000 documents) instead. If there's more than a few document links that have been changed this is quite time consuming and tedious.

  20. Document owner rights for Expert by default

    I recently discovered that when an expert starts documenting a new process, they are not automatically given Document Owner rights to documents they upload. This means that while they are creating this process and it hasn't yet been approved they cannot make any changes to documents they add, and need to completely delete and readd the document. They can't even upload a new version or change the label.

    The workaround at the moment is to manually assign document ownership rights to individuals and this must be done at a folder level, however this is cumbersome and lacks logic. It would…
