  1. RACI on Activities/Tasks

    RACI on Activities/Tasks:

    1. On Activities we can only relate responsible role but not accountable.
    2. On Tasks there is no option of mapping any RACI assignments

    Recommendation: Transfer the existing functionality on Task level (instead of Activity) and then populate it automatically on the Activity level to create the swimalane

  2. Multiple outputs when using decision diamond

    When using a decision diamond the process ends in two different places, which each have a distinct output. Unfortunately when entering an output there is no way to define which part of the process produces that specific output. The map shows both outputs flowing from both ends of the process.

  3. Archive function for particular personal or training units

    When you have set up training in the system and people have completed the training, but have changed role and no longer require refresher training there is no way of archiving that persons training record for the training unit so instead it shows as expired until such time that person leaves the business or the complete refresher training. It would be great to be able to archive them so the training evidence is still in the system but not physically visible. This is important especially for KPI reporting for training and overdue training.

  4. Breadcrumb behavior in Minimode: "down" only, not "up"

    Currently if Breadcrumbs are enabled in Minimode configuration settings then they allow navigation from the linked process all the way to the top of the process hierarchy in the Promapp instance.

    The breadcrumb navigation is useful but there are use cases where we only want users to be able to see from the linked process "downwards", i.e. drill into the detail, but not "upwards" e.g. to functional areas that they should not see.

    In this case it would be ideal for the breadcrumbs to "start" at the linked process and not show the higher level process hierarchy: perhaps this could…

  5. Glossary - Acronyms, Phrase, definition

    To improve glossary functionality I propose the following.
    1. There should be a data type called acronym as part of the glossary.
    This should be case sensitive. This would allow for the organization to set its own acronyms and thus ensure effective use.
    2. allow for users to have mulitple instances of an acronym. POC- Proof of concept, point of contact, . Allowing the process writer to designate a definition.
    3. If there are dominant definitions within Promapp instances, for example APQC, SAP, BPM, these could be part of a larger glossary function to help share concepts across multiple organizations.

  6. Need wait times and active times show in mapview

    We desperately need to see both active times and wait times on map view please. At present we can only have one or the other. Whilst you can see both in the procedure tab, this isn't helpful if you are presenting to the Executive, who need the higher level picture. They don't have time to see any detailed process - that's our job.

    Please can you add this to your amendment list for your programmers as urgent? We don't have a useful way of showing timeframes to our executive in a snapshot and the mapview showing both sets would be…

  7. Make attachment types visible in the document library

    Even if staff search our document library to check whether a link has already been created, they are unable to see the attachment type (ie form, guide, information, training, policy), so when they then go to attach the existing link to their process they sometimes select a different attachment type and then their search doesn't locate the document (even though they know it's there!)

    If the attachment type is visible in the document library their frustration levels will be reduced.

  8. changing owner expert automatically publishing

    There is currently an issue with the system that violates the whole approvals framework.
    Whenever someone leaves the organisation or changes role there is no way to bulk transfer a processes still in development to a new resource without the process automatically being published which then bypasses the approvals process. We are a small organisation and have at least one person join and leave a week. To review all of the processes to see if they are ready for publishing would be an administration nightmare.

  9. Show process changes in printed versions of procedures

    One of our favourite features in Promapp is the ability to compare versions and see the differences visually. Great for approvals and notifications as it allows people to note the differences without needing the re-read the entire process.

    Because some of our teams are not desk based, some teams have the need to print our processes especially for approval. However the compare changes doesn’t show up when printing to PDF.

    It would be very helpful if there was the ability to do this – either driven from the setting within the process or an additional option on the print dialogue.

  10. View unpublished processes

    We have the ability in My Dashboard > My Reviews to view published processes which are due for review, but there is no similar function to view processes that have been saved, but forgotten to publish.

    Requesting please for an 'unpublished processes' tab to list those that require review

  11. Disable 'Submit for Approval' while @TODO items are present

    There are instances when process editors overlook resolving @TODO items prior to submitting processes for approval. It would be helpful if the system could prevent the submission of processes while there are unresolved @TODO items present. Perhaps when the user goes to click 'Submit for Approval' a window could appear advising that there are unresolved @TODO items and call out where in the process these are.

  12. Allow an option for a conditional activity

    Currently we only have the option to link a conditional process. Could there be a toggle which allows you to choose a conditional activity OR a conditional process ? (like the decision box offers)
    Sometimes we have to turn a single activity into a published process just to get a conditional link.

  13. Tagging an entire process

    Our organisation has a need to tag processes and documents according to which regulatory standard they align to. We'd like to use Lean tags for this. However, Lean tags can be applied to activity or task levels and show up in line with the text. It would be helpful to be able to tag and report on entire processes and documents using the same tagging system (currently tags can't be the same for Lean and documents), and for this not to display in line with the process name. Perhaps it could appear in the summary section.

    Get the ability to export to CSV the list of Checklists. Would help with tracking compliance and with auditing.Similar to the Improvement register.

  15. Ability to export the Groups structure

    To enable an audit of the Groups structure it would be great to have the ability to export that structure out of Promapp and into Excel for example.
    The export could look something like the attached screenshot.

  16. More detail in Status column of the Process List report

    It would be great to have more detail in the Status column of the Process List report. Currently there seems to be only Published or Unpublished. I'd like to see 'Awaiting Approval' or 'In Progress' rather than 'Unpublished'. That way it would reflect the status as shown in the process itself (next to the title).

  17. Automate role changes and exits

    Updating roles for users and reassigning tasks takes significant time by the Promasters.

    Could automation be built into Promapp allowing quicker position changes? Maybe an excel import that updates employee's assigned roles and deactivates others?
    As an added bonus, making exiting staff inactive and possibly reporting on inactive staff with processes?

    If any one has feedback on how they go about it, I'd be happy to hear it.

  19. Ability to create new roles within the Add User function

    I often need to add a large number of new users at a time. It is very time consuming, and I don't know if their role exists unless I have a separate screen open to search the roles, and then add new roles if needed.
    It would be a big time saver if I could do this within the Add User screen, where I could click on "Add Role/Responsibility" and if the role isn't available, I could have the option to add a new one and assign to that new user from the same screen, rather than having to close…

  20. Disallow/Warn/Add config item to avoid publishing with unassigned activities

    Disallowing a process to be published when there are unassigned activities would stop that from occurring.

    Either that or, as a minimum, a warning pop up when the publish button is clicked.

    Alternately, make it a config item that clients can control eg 'Enable publish with unassigned activities' (default setting would be off)
