Bulk delete of documents
It would be great to bulk delete documents. Over time a number of documents have been uploaded and are no longer or were never attached to processes. We would like to be able to bulk delete any unattached processes that have not been viewed in 12 months or more. Searching through and deleting documets one by one is too tim intensive/

Make attachment types visible in the document library
Even if staff search our document library to check whether a link has already been created, they are unable to see the attachment type (ie form, guide, information, training, policy), so when they then go to attach the existing link to their process they sometimes select a different attachment type and then their search doesn't locate the document (even though they know it's there!)
If the attachment type is visible in the document library their frustration levels will be reduced.

Reporting document reviews
You can run a report for process reviews due but not for documents and we would find this very useful.

View documents without having to download and save
Each time a document or file is viewed it has to be downloaded to the computer and is stored on the hard drive, usually in a default directory. It would be useful if downloading was an option or at the very least an option to delete the document after it was downloaded and viewed. e.g. if one wants to view a PDF on the web this can be done without having to download the file.

Documents: force a search of existing Promapp documents before adding a document
There is currently no way (other than rigorous training) to ensure editors check for the existence of a document in Promapp before adding a new document into a process. This results in many duplicated documents.
Proposed solution: Restrict the first step of creating a document to a search of documents in Promapp to verify if the document has already been created in Promapp. Once verified that it does not exist provide the option then to either Upload or Link the new document.13 votes -

Add an option to remove the Document Changes tab from the My Changes tab of My Dashboard
Some senior managers find that telling them to look at documents linked to processes is a step too far for their valuable time – they just want to focus on processes (new, changed, awaiting their approval). Some processes can have 10 or 20 documents linked, which means the Dashboard number is quickly dominated by documents, not the key focal point which is processes.

Ability to transfer documents due for review to new staff
Having the ability to transfer documents that are overdue for review to new staff will be very helpful. Currently documents overdue for review cannot be transferred. The last person that uploaded the documents is reported on however we have people that have left the organisation and it is difficult as a Promaster to get new staff to review and upload new versions. Having the ability to transfer documents like with processes in the user administration tab etc would be very helpful.

Remove documents from sharepoint search of Promapp
We have added the searchability of Promapp to our sharepoint intranet, however the results also bring up any documents listed in Promapp. As an added complication, they are links to our document management system so it does not even take the user into Promapp at all.
We would like to see the results only include links to Processes ONLY and have a little icon to show that it is a promapp, like the pages, images and other sharepoint searches do.

Embed document view in Promapp
Display documents in embedded window within Promapp instead of opening as separate documents.
This would allow users to stay in the process and scroll up and down in the document within the activity/task, without losing their place.

Document Views Report
As Administrator of our system, I am looking for another report: Document searches / views.
It would be quite helpful to understand how frequently people search for ressources, to evaluate people involvment in making the system alive :)9 votes -
Browse function available in Chrome
In Chrome when ‘link document’ is selected and ‘link to a network file’, the ‘browse’ button/function isn’t available. This causes issues because the user then has to go to the file on the server where the document to link is stored, copy the windows location, then (if they’re extremely IT savvy) copy the full name of the file including file type to the ‘network location:’ field.
In internet explorer (not the preferred browser), the browse button is available. This means I’ve had to encourage users to keep using internet explorer. It seems a bit backward to me. Can you let…9 votesLet me have a look at what is happening on our side and see if we can get this addressed.

Is there a report that shows which documents belong to which processes?
Is there a report that shows which documents belong to which processes? The purpose of this would be to identify the improvement opportunity due to the number of documents belonging to multiple processes. Currently there is only a document list report which shows number of processes per document, however Promapp is a process mapping tool not a document management system, therefore there should be a report showing the opposite.

Link a Document on Group Level
There does currently not exist an option, where a document or image can be linked into the group overview tab. Only processes or groups can be shown there.
It should be possible to have a link to a document, such as framework visualisations, policies or other "over-arching" artefacts.

Paper/display orientation
When printing a process map, it would be good to have the ability to choose the orientation - Portrait or Landscape. Currently this is set to Portrait. Most of our documents are landscape and every time I print or want to save a pdf copy I have to change the orientation

Ability to separate image approvals from document approvals
Ability to separate image approvals from document approvals. We had document approvals switched on, but found our approvers were getting inundated with approval requests for images, which are predominantly screenshots to attach to tasks. It would be handy if you could have document approvals turned on but image approvals turned off.

Would like the ability to link to a whole folder on an internal drive and not just a file within that folder.

Moved documents remain in original folder/s - have to be manually moved
Documents attached to processes that are moved to another group should not remain in the original group or provide an option to select 'remove from this group'. With organisational restructures, processes can be moved and the extra work required to remove each individual document from the original group so any obsolete groups can be deleted is time consuming!

Please can you add filter options to the document list report, and a way of excluding images from the list.

Enable document attachment to trigger/inputs
Currently, only processes can be referenced to a process via the Input field. It would be helpful if documents that are associated with a process - but not with a specific activity - such as a RACI, a Glossary, a Policy etc. could be linked in the Input field.
