Allowing Process Owner and Process Experts the ability to upload documents as well as archiving those documents in the library. They can upload a doc to their process although if removing it, the document is orphaned and a Promaster must archive their previously uploaded document. To keep the library clean and maintained, they should have the opportunity to remove those documents they previously uploaded.

It'd be great to have documents directly link to processes so then the documents can be stored within processes without needing to link them to an activity/task.

Documents currently stay linked to an original process if they are transferred to a new process. Removing the original process link allows for less administrative steps when the original process is then archived or deleted.

Some senior managers find that telling them to look at documents linked to processes is a step too far for their valuable time – they just want to focus on processes (new, changed, awaiting their approval). Some processes can have 10 or 20 documents linked, which means the Dashboard number is quickly dominated by documents, not the key focal point which is processes.
I have received much feedback from senior managers asking for this clutter to be removed

Our company has its Document management system and we do not want users to save it somewhere else. However for Process and Procedures, it is useful if videos or images can be uploaded against the Activity or Task. Currently, Promapp only allows upload of all document types but not by type (e.g. allow only image and video types but restrict any other type of document like excel, word, powerpoint or pdf)

Since the last update the background color for the Summary and Procedures has been removed and now shows as white. This makes it harder to quickly read the procedure in PDF format. It would be good to have the ability to choose a theme for background headings or to just have the option back the way it was.

It would be great is we could drag and drop media into procedures while in 'edit' mode. Currently have to navigate to the attachment form and select files individually.

When there are duplicate documents in the library, I want to merge them so that there is only the latest version or one source of the truth.
Documents can be uploaded more than once if the person does not search for it first and/or uses a slightly different name (do not follow naming conventions) i.e. they include a prefix or use a space in it somewhere or add a date or typo.

There does currently not exist an option, where a document or image can be linked into the group overview tab. Only processes or groups can be shown there.

It should be possible to have a link to a document, such as framework visualisations, policies or other "over-arching" artefacts.

Currently, only processes can be referenced to a process via the Input field. It would be helpful if documents that are associated with a process - but not with a specific activity - such as a RACI, a Glossary, a Policy etc. could be linked in the Input field.

Documents attached to processes that are moved to another group should not remain in the original group or provide an option to select 'remove from this group'. With organisational restructures, processes can be moved and the extra work required to remove each individual document from the original group so any obsolete groups can be deleted is time consuming!

Create a report where we can know how many times and date when documents are clicked on or downloaded

Could the document approval workflow be improved to include a "Change Declined" Status that is only visible to Document Owners, Document Approvers, BA and Promasters?

If a document approver rejects a document, the status of the document remains as "Awaiting Approval". There is currently no way to return the document to it's previous state without replacing it with the existing version.
This means the options we have are either double handling (replace the document with the existing document) or leave the document in the status of "Awaiting Approval" until it's next update (even though the document change has been rejected).

After adding a document change comment, it appears on the dashboard but not on the change log of relevant pages.
I was asked what in the document was "modified" in the example attached but the document had not been modified, just the link to it was updated.

It would be great to bulk delete documents. Over time a number of documents have been uploaded and are no longer or were never attached to processes. We would like to be able to bulk delete any unattached processes that have not been viewed in 12 months or more. Searching through and deleting documets one by one is too tim intensive/

We have recently changed document management systems and all document links are now broken and must be updated manually within each process.

An option to bulk update linked documents would help!

It'd be great to have the Documents sub tab on the Group Overview tab. It would list all the documents attached in each of the processes added listed the overview mega process. Then you wouldn't have to drill down into each process to find a particular document.

Provide an additional field to apply to Promapp reports that track changes made to the owners/experts of processes and documents. Not tracking these changes makes it difficult to provide change of ownership proof to external organisations that approve sensitive processes before publishing.
