  1. Improved Functionality for Transitioning Processes between Owner/Experts

    In order to better support transitions in process ownership, whether they are published or in development, I propose the following functionality be added.
    Break the Publish Now feature for Promaster's into 3 separate functions/Button.


    1. Transition O/E- This button would function to transition groups of processes not yet published between owners and experts. It would transition only it would NOT publish. Maintaining process approval structure and not signaling the original owner.


    2. Transition Publish- This button would transition groups of processes that may be in an additional layer of update or development. It would republish the process as an increase of 1…

  2. Archive function for particular personal or training units

    When you have set up training in the system and people have completed the training, but have changed role and no longer require refresher training there is no way of archiving that persons training record for the training unit so instead it shows as expired until such time that person leaves the business or the complete refresher training. It would be great to be able to archive them so the training evidence is still in the system but not physically visible. This is important especially for KPI reporting for training and overdue training.

  3. Ability to move opened document images when in Procedure View

    Hi - small enhancement if feasible.

    From the persona of the Promaster, or reader of a process in Procedure view, it would be great to have ability to move around an image you have opened up in an Activity so that you can see the image and the task steps simultaneously.

    When I am doing a quality and usability check for document images the image covers up the task content in the background.

  4. Add a report to capture process connections/dependencies.

    This proposed report would show for each process which other processes are connected to it (linked process, conditional, linked by decision diamond or via notes)

    Currently you can see this information for an individual process by going to the dependencies section of that process, but there is not way to generate reports with this information for a group of processes.

    Having this report and being able to export its results could aid in developing visual flows of connected processes, aid in change management efforts, and dealing with processes connections prior to archiving.

  5. More detail in Status column of the Process List report

    It would be great to have more detail in the Status column of the Process List report. Currently there seems to be only Published or Unpublished. I'd like to see 'Awaiting Approval' or 'In Progress' rather than 'Unpublished'. That way it would reflect the status as shown in the process itself (next to the title).

  6. Search role list when doing user maintenance

    We have a lot of roles and you need to scroll down the list to add or change a role. It would be helpful to have a search capability in this pop up box, or be able to jump to the section by alphabet.

  7. Disallow/Warn/Add config item to avoid publishing with unassigned activities

    Disallowing a process to be published when there are unassigned activities would stop that from occurring.

    Either that or, as a minimum, a warning pop up when the publish button is clicked.

    Alternately, make it a config item that clients can control eg 'Enable publish with unassigned activities' (default setting would be off)

  8. Process approval workflow order preference

    When processes require approval the 'Subject Expert' should approve prior to the 'Owner' as best practice, however, Promapp does not allow that. With Promapp, the 'Owner' can approve prior to the SME and has no visibility as to whether the SME has previously approved. This causes issues with SME no longer having the Approval button on the process, plus often the SME may have changes that can't be made once the 'Owner' has already approved.

    It would be more suitable for the SME to approve prior to the process notification for approval going to the 'Owner' for approval.

  9. Case sensitive glossary

    It would be good to have a Glossary that is case sensitive. Currently IT (Information Technology) is being tagged every time we use the word 'it'.

  10. Make attachment types visible in the document library

    Even if staff search our document library to check whether a link has already been created, they are unable to see the attachment type (ie form, guide, information, training, policy), so when they then go to attach the existing link to their process they sometimes select a different attachment type and then their search doesn't locate the document (even though they know it's there!)

    If the attachment type is visible in the document library their frustration levels will be reduced.

  11. Multiple outputs when using decision diamond

    When using a decision diamond the process ends in two different places, which each have a distinct output. Unfortunately when entering an output there is no way to define which part of the process produces that specific output. The map shows both outputs flowing from both ends of the process.

  12. Glossary - Acronyms, Phrase, definition

    To improve glossary functionality I propose the following.
    1. There should be a data type called acronym as part of the glossary.
    This should be case sensitive. This would allow for the organization to set its own acronyms and thus ensure effective use.
    2. allow for users to have mulitple instances of an acronym. POC- Proof of concept, point of contact, . Allowing the process writer to designate a definition.
    3. If there are dominant definitions within Promapp instances, for example APQC, SAP, BPM, these could be part of a larger glossary function to help share concepts across multiple organizations.

  13. Ability to add roles to a responsibility

    As mentioned by Peter on the idea to increase the number of roles allowed to be assigned to an activity …

    The ability to add Roles to a Responsibility (in addition to being able to assign named persons to a responsibility) would be great and improve the communication of process changes to the right staff.

    Currently we only add staff to their job role, not to a generic responsibility as it's just not practical from a maintenance point of view to do so.

    If we could assign a role to a responsibility (or vice versa) that would mean staff receive…

  14. My Changes>Processes for Publishing: Processes getting double declined; rough Author experience.

    We have configured that only our Promasters have a ability to Publish processes.

    We have a total of 4 Promasters monitoring and publishing or declining.

    We have had several processes where separate Promasters have declined the same process because the process still sits in the Processes for Publishing queue when declined and until a Process Author touches it to commence editing.

    Either:
    a) drop the process completely from the queue when declined, or

    b)have an additional column to show that it is currently declined, or

    c)have a new Type value that indicates Currently Declined, but definitly not Awaiting Publishing as…

  15. Microsoft Search (intranet/bing) return Nintex promapp results

    Provide a way to return Promapp results to 365 Microsoft Search so that Modern SharePoint search results can include Promapp processes, either in line or as a vertical result set.

    So that organisations who are moving from classic SharePoint to Modern SharePoint have an upgrade pathway without loss of functionality.

    Ideally provide:
    - a Microsoft Search connector, visible within Microsoft Search admin connector screen.
    and or
    - a way to allow Basic web authentication for Microsoft search only, as well as SSO for normal users

  16. Fix roles when scrolling through a process

    When looking at a large process the roles on the left side at the beginning of the process map are not visible any more when scrolling to the right towards the end of the process map.

    It would be great if this part of the map could be fixed when scrolling through just like in Excel.

  17. Have different branding options for different group of processes

    Hello,

    we use brands for e.g. our project management framework, including a logo. Therefore it would be great to have different 'branding options', so we can e.g. include the project management logo into all related processes.
    This is quite important for us, we strive to map all our processes in Promapp, but without branding option our marketing team will still recreate thosel processes in InDesign and we lose quite a lot of ability...

  18. Need wait times and active times show in mapview

    We desperately need to see both active times and wait times on map view please. At present we can only have one or the other. Whilst you can see both in the procedure tab, this isn't helpful if you are presenting to the Executive, who need the higher level picture. They don't have time to see any detailed process - that's our job.

    Please can you add this to your amendment list for your programmers as urgent? We don't have a useful way of showing timeframes to our executive in a snapshot and the mapview showing both sets would be…

  19. Allow PO/PE to respond to feedback by replying to email directly, instead of having to go into Promapp site

    Currently the system automatically emails Process Owners and Process Experts when a piece of feedback is received against a process.

    It would be much easier for the users to respond to feedback if they did not need to open up Promapp and if instead, the user replied to the automated email with their response. Similar to how Nintex Cases work, if support email you and you reply back to the email the response is automatically logged the case without you having to go into Customer Central.

  20. Increase number of roles able to be assigned to an activity to more than 6

    Currently there is a limit of 6 roles able to be assigned to any activity. This has lead to having to create an increasing number of group roles or responsibilities purely to use for the process e.g. xx requestor, xx approver, etc. I would like to be able to add all of the roles that will perform this action. Creation of additional roles creates an unnecessary administrative burden.
