  1. Include a 'Reviewed It' button for when Explicit Reviews (configuration) is turned OFF

    When Explicit Reviews are turned OFF, the 'Out of Date' is calculated based on the last published date which is great.

    However if a process has not been updated (or is still current) after the expiry duration, the process becomes 'Out of Date' and currently the only way to make this process a published process again is to edit the process (just click around so the Save button appears) and the re-submit the process for approval and then publishing. This is because when Explicit Reviews are turned OFF, the 'Reviewed It' button is no longer available.

  2. Ability to customise the widget to search select groups

    Seeking greater customisation ability of the Promapp widget to enable search results to be returned only from select groups.

    The purpose in this is to embed the widget on a specific business unit intranet site. This would be helpful for our large organisation where there is a huge amount of information contained in Promapp we need more options for filtering.

  3. Report on When Processes were Published, Approved, Declined

    From program and user standpoint, it would be excellent to inform or show volume of processes published, approved or declined in a timeframe and to add, by Process Group.

    I have Process Owners starting to ask what their teams accomplished at my monthly forums.

    It also gives us indication on usership or behavior in general

  6. Processes I'm In Search field more visible

    If the search field was more obvious then users would be able to find it. Then magnifying glass symbol is okay but the rest of the field could stay open instead of expanding.

  7. Scroll the visible screen when dragging a task to another activity

    When editing a process and the user needs to drag a Task to an Activity that is not on the visible screen, the screen should automatically scroll when the task is dragged past the top or bottom of the activity list. Right now you have to drop the task close to edge of the list; scroll the screen; drag and drop; scroll; etc.

  8. Create config setting to restrict ability to Manage Groups

    The ability to create and manage Groups is causing issues with the defined structure regardless of the training that has been provided to editors.
    Improvement idea:
    Create a config setting to allow edit ability for Groups to be restricted to Promasters only, to Promasters and Business Analysts only (i.e. two options.

  9. Fix timings so that when linking a process within a process the linked process retains only it's time

    When creating process 1, 2 and 3 and a timing is made on each process and I then link Process 1 to Process 2 in Process 2 and then 2 to 3, Currently when linking process 1 to 2, process 2 has an aggregated time of Process 2 and 3 and then if process 2 is linked to 3 process 2 carries over the time taken for both process 1 and 2. This amount gets confusing when it is a mega process with many processes. Solution would be to provide actual individual process time and show these aggregated time when…

    I would like to be able to see completed checklists in the process view - can currently only see active checklists.

  11. Ability to enter inputs and outputs at Activity level

    It would be great if there were Inputs and Outputs fields available within each Activity that you can populate as you go, and then these automatically populate the Inputs and Outputs section.

    The ability to update them at the Process level should be retained but if we could reduce the need to add them twice (you already do it in the task level) it would also reduce the times you forget to update it at Process level.

  13. More obvious display of pending approvals

    When a process is sent for approval, it shows up in the approvers dashboard. To see who has/hasn't approved it, you need to place your mouse over the person icon.

    This isn't intuitive and is missed by most people and is one of the more common queries I get from experts and owners.

    If this icon had a header (like the rest of the fields) this would help draw attention to it. There also might be a better way of displaying this, such as a count or percentage of approvals completed. Or a series of checkboxes that show approval vs…

  14. Sort out page and formatting breaks when printing procedures, currently images are separated from the tasks

    When printing processes the images are separated from the associated task making them hard to follow in the printed format. Formatting / Page breaks can only be cheated by changing image size but this can only be modified by reuploading images with less pixels as a workaround to the poor formatting of the PDF documents

  15. Change landing page to Summary

    When you first create your process, the first page that you land on is the Procedure Page but in reality, you need to first land on the Summary page to make minor changes and then move to the Triggers and Inputs Page and then to the Procedures Tab. It would make it easier to train if you start at the top tab and work your way down.

  17. Bulk word change

    Unfortunately at the beginning of our process mapping journey, we used the actual software name for our record keeping system rather than the acronym EDMS - so in our processes we have Content Manager 9 and CM9 throughout (this wouldn't be a problem if we were continuing with this version of the software or in fact even this software, which we are not) - it would be greatly beneficial if we had the option to do a bulk word change. At process review time, I will get staff to change this for now - until my idea comes to fruition.

  18. Process annual reviews

    We have a checklist of questions that the PO or PE answers when performing the annual process review. The checklist is then copied and pasted into the comments box that is displayed when the Reviewed It action button is selected.
    We would like the ability to customize the comments field and have a template of the checklist automatically display and be able to be edited with the checklist responses.
    I realize that not everyone would have this as a step in their review process, however it may be useful for other organisations as well.

  19. Promapp Roles Management

    It can be difficult in large organisations to manage Roles so we would like to propose the following improvements to help deal with frequest staff changes:
    1. have the ability to run a report showing historical role changes (e.g. if we reported on the Operational Delivery Lead role it would show all the people who have been in and out of that role historically)
    2. allow the management function within the Roles area of Promapp to have the ability to see changes to a Role i.e. a change log.

  20. Increase flexibility of what you can do with decisions

    More flexibility is needed for decision points:
    - Ability to loop back to previous activity in current process
    - Ability to loop forward to a later activity in current process
    - Ability to continue with two parallel sets of activities in the process
    - Ability to have different outputs at the end of two parallel sets of activities in the process

    Also decisions need to be shown in a better way in the written procedure. I Propose to use two columns, one for "yes" and one for "no" to clearly show what a applies for each case.
