  1. Change system list requirements to allow spaces in the system names

    Currently system names can only contain alphanumeric, hyphen, and underscore characters. Spaces can be included in system tags, however, it is the system NAME that is used if a system is assigned to created a swimlane.

    This means that system names that should have spaces either have no spaces or underscores.

    The fact that it looks a bit "ugly" is a blocker for some users adopting Promapp and I have been asked to add some of the systems as roles instead because it looks nicer (see example attached).

  2. Process Acknowledgement - wording - "published" rather than "changed" when published by Promaster

    As Promaster when publishing processes, process changes to acknowledge states "process has been changed by [promaster name]", it would be preferable to state "process has been published by [promaster name]", I find employees think I am changing the process, where in fact as promaster I am publishing the process, not making the changes.

  4. Have different branding options for different group of processes

    Hello,

    we use brands for e.g. our project management framework, including a logo. Therefore it would be great to have different 'branding options', so we can e.g. include the project management logo into all related processes.
    This is quite important for us, we strive to map all our processes in Promapp, but without branding option our marketing team will still recreate thosel processes in InDesign and we lose quite a lot of ability...

  5. Make some text boxes larger (Trigger/Starts, Inputs, Outputs)

    It would be great if the Trigger/Starts, Inputs and Outputs text boxes were larger/longer. It's difficult to type in, particularly for people learning to use Promapp, after typing a few words you can't see your sentence in full.

  6. Capture and report on user search behaviours

    Suggestion to capture and export user search data via Reports.
    This data would include:
    - What search terms are users inputting
    - What are the follow through rates i.e. What terms are users searching where they are getting no results or not following through and clicking any returned results?
    - What are is the traffic against processes

    This functionality would give us a really good insights into:
    1. How we could improve how we articulate our processes and use the Keyword search fields.
    2. What are user behaviours and help guide our training i.e. if users are using the search…

  7. Notifications for Reviews

    Recommend adding a configuration option to email owners and experts when a process requires review with the ability to set an advance notice (e.g. an email notification to be sent 1 week or 1 month in advance of a review due date).

  8. Allow archive or delete of feedback by PO/PE

    during development and reviews of processes there is a lot of feedback that gets discussed and resolved that the PO/PE cannot either hide from view after resolution but also can't delete the thread, they have to keep notifying a promaster which to delete to keep the history view manageable. Additionally, any user trying to see what is currently being addressed gets lost on the litany of already resolved feedback in the Give Feedback panel. This is just far too messy to be useful and time consuming for a promaster who has a lot of other administration to do.

  9. Show approvers in ''Submit for Approval" dialogue

    When sending a process for approval, the user can enter a short explanation of what has changed and why. Understanding your audience is key but there is nothing on this screen to show who the approvers are.

    To identify the approver the user has to exit this dialogue and go back to the process and check both the summary tab (for expert and owner) and RACI (for additional approvers). This still won't show any approvers added by the group Stakeholders.

  10. Publication Declined should revert new process to Unpublished instead of In Progress

    A new Process is in PAW (revision 0.xx) and Awaiting Publish. Once declined and back into editing state, it lists as In Progress. Instead, it needs to revert to Unpublished because the process has not been previously published. This inaccurate label confuses reporting.

  11. Process reviews should not need to be republished

    When processes are up for review they often don't need any changes. At present we are forced to make a minor change (ie. add a space somewhere) just to trigger the approval process to remove the process from the review cycle. This also updates the version which should not be necessary. It would be great to see an option to acknowledge the process has been reviewed and mark it as complete without having to republish.

  12. When creating a process, have additional approvers as part of the approval workflow

    When creating a new process, even if you have delegated an additional approver to be part of the workflow, they are not 'counted' or brought in until it has been published at least one.

    As they are noted as part of the workflow, they should review/update changes from the start.

  13. Improving the automatic dashboard notification email

    Would we improve the look and feel of the automatic dashboard notifications include:
    - Allowing us to customise the messages which appears
    - Extend the hyperlink in the email to either the entire box or also the number in the coloured, not just the text (please see attached image).
    Currently the hyperlink is only clickable if you click the words "Process Changes" or "Document Changes", however I am finding that users are trying to clicke the number in the colour box, or just the box area in general.

  14. Groups: Produce report on list of groups

    My business wants to be able to see the list of groups (with or without processes) so we can identify the groups (business functions) that still need mapping. The reports allow for the export of process lists but not a list of process groups. There is absolutely no way to do an audit on the process groups without it being done one at time. Not efficient at all.

  15. Modify Ownership & User Rights Report to Include Process Writers not Editors of Groups

    We are trying to track who is actually writing processes (published and unpublished) and there is no report that shows that or dashboard view for the Promaster. We can export to show process editors but it is useless and only shows editors of a group not processes, and those people have the rights to approve a process - not sure why a process editor would have the rights to approve a process.

    Our writers do not approve the process. Only the SME & Owner is responsible for that.

    Therefore, we have no way to report on who is actually writing…

  16. Process Maturity Tagging

    Process maturity is an indication of how close a developing process is to being complete and capable of continual improvement through qualitative measures and feedback. Thus, for a process to be mature, it must be complete in its usefulness, automated (where appropriate), reliable in information and continuously improving.
    In order for an organisation to understand it’s process maturity, having the ability to audit and tag a process to categorise it to show what stage, tier or level of maturity a process is at. This will provide visibility and reporting on the organisations process maturity. This also provides focus for improvement…

  18. Add an option to generate iframe code to embed minimode in SharePoint under the sharing menu

    Currently SharePoint does not enable embedding from Promapp without generating the minimode link and including it in iframe code. We encourage users to share processes on SharePoint (e.g. accompanying a news item) and generating iframe code is a bit to advanced for many users. It would be helpful if the iframe code including the minimode link could be generated directly from the Promapp share menu.

  19. Ability to have notes on conditional process links

    Currently we use the notes functionality to manage conditional processes because we don't have the ability to describe the condition criteria applicable. Could we have a text field added to the conditional process field, so that we could define the applicable condition e.g. 'Follow this conditional process when..."

  20. Bulk Delete / Multi Delete of Glossary Items

    It would be very handy to allow for bulk delete / multi delete of Glossary items. We imported a spreadsheet of words/terms from a corporate dictionary, but after seeing how well Promapp tags things - we're really wishing we could easily remove large chunks of what we uploaded - or remove it all and do a more targeted upload.
