Ability to add text/note beneath a linked process
It would be helpful to be able to add text beneath a linked process to add context or specific instructions within a wider process.
It would also be useful to be able to edit the name of the process to fit in to the wider process that it's linked within.

View unpublished processes
We have the ability in My Dashboard > My Reviews to view published processes which are due for review, but there is no similar function to view processes that have been saved, but forgotten to publish.
Requesting please for an 'unpublished processes' tab to list those that require review

Glossary - Acronyms, Phrase, definition
To improve glossary functionality I propose the following.
1. There should be a data type called acronym as part of the glossary.
This should be case sensitive. This would allow for the organization to set its own acronyms and thus ensure effective use.
2. allow for users to have mulitple instances of an acronym. POC- Proof of concept, point of contact, . Allowing the process writer to designate a definition.
3. If there are dominant definitions within Promapp instances, for example APQC, SAP, BPM, these could be part of a larger glossary function to help share concepts across multiple organizations.29 votes -
Multiple outputs when using decision diamond
When using a decision diamond the process ends in two different places, which each have a distinct output. Unfortunately when entering an output there is no way to define which part of the process produces that specific output. The map shows both outputs flowing from both ends of the process.

Disable 'Submit for Approval' while @TODO items are present
There are instances when process editors overlook resolving @TODO items prior to submitting processes for approval. It would be helpful if the system could prevent the submission of processes while there are unresolved @TODO items present. Perhaps when the user goes to click 'Submit for Approval' a window could appear advising that there are unresolved @TODO items and call out where in the process these are.

Automate role changes and exits
Updating roles for users and reassigning tasks takes significant time by the Promasters.
Could automation be built into Promapp allowing quicker position changes? Maybe an excel import that updates employee's assigned roles and deactivates others?
As an added bonus, making exiting staff inactive and possibly reporting on inactive staff with processes?If any one has feedback on how they go about it, I'd be happy to hear it.

Ability to export the Groups structure
To enable an audit of the Groups structure it would be great to have the ability to export that structure out of Promapp and into Excel for example.

Ability to create new roles within the Add User function
I often need to add a large number of new users at a time. It is very time consuming, and I don't know if their role exists unless I have a separate screen open to search the roles, and then add new roles if needed.
It would be a big time saver if I could do this within the Add User screen, where I could click on "Add Role/Responsibility" and if the role isn't available, I could have the option to add a new one and assign to that new user from the same screen, rather than having to close…21 votes -
More detail in Status column of the Process List report
It would be great to have more detail in the Status column of the Process List report. Currently there seems to be only Published or Unpublished. I'd like to see 'Awaiting Approval' or 'In Progress' rather than 'Unpublished'. That way it would reflect the status as shown in the process itself (next to the title).

Ability to filter Processes Awaiting Approval by Approver
Ability to filter Processes Awaiting Approval by Approver in order to facilitate sending a report to each approver. Ideally, an automatic report that would be sent to each approver after x number of days of not being approved but could be manually filtered and sent in the meantime

Have the tool bar (Summary, Feeback, Change Log etc. tabs) visible on the Procedure Tab
When a process has both "Map and Procedure" enable, the toolbar which has the (Summary, Feedback, Change Log, Documents,Targets, Systems, Tag and @Todo) tabs are only visible on the Map view. However when the process only has "Procedure" view enabled, the tool bar is visible in the Procedure view.
Can we make it so that the toolbar is visible in both Map and Procedure view when the process as Display type = Map and Procedure?

Specify the 'Next' and 'Continue' Activity IDs in Process Text Description
For decisions on a Process map it is obvious which Activity the "Yes" and "No" alternatives point to; however in the text description (the 'Procedure') it is less clear, and can be confusing for those users who prefer to read text without referencing the map.
It would be helpful if the text description could be expanded to include the IDs of the Activities for the 'Yes' and 'No' alternative paths.

Indicate when a note or task exists within activity step
Ability to visually allow the reader to know that there is further detail under an activity like a task or note. Either by color of activity or some marker. Users do not inherently know to review the dialog box or procedure and may miss key information.

Disallow/Warn/Add config item to avoid publishing with unassigned activities
Disallowing a process to be published when there are unassigned activities would stop that from occurring.
Either that or, as a minimum, a warning pop up when the publish button is clicked.
Alternately, make it a config item that clients can control eg 'Enable publish with unassigned activities' (default setting would be off)

Add "Expand All" and "Collapse All" option for notes
Add expand and collapse all option for notes. This would help when comparing versions and when searching for words using Ctrl+F in the procedure tab.

Add Audit Logs for User Creation and Updates
It would be helpful to have audit logs for user creation and changes to user accounts. Our organization has an Access Management team, so it would useful to be able to tell who created a user account or who made changes in the event there are questions or issues.

Policy links shouldn't display them as "Processes"
When a Policy link is added to a Process (e.g. within a Note in the Process), the link reads "Process" which can be misleading.
For example, at CST we have a Policy that describes when funds leaving an account should be processed as a Withdrawal vs. a Reversal (see attachment 1).
But when that Policy is linked to a Process, the link doesn't say "Policy", it says "Process" see attachment 2). Ideally, the link should say Policy.

Enable multiple types of tags (e.g. Lean AND timeframe) to be shown on the map at once
As we increase in process maturity more users would like to use active/wait timeframes and lean tags. At the moment only one tag can be shown on the map at a time. It would be great if you could select more than one (e.g. active AND wait times, active time AND lean, lean AND system) rather than toggling between options.
This is particularly important for the staff undertaking Lean Six Sigma training and improving processes.

Enable more than one activity in decision matrix
When you have a decision, you can set it to go to next activity, another process or add in another activity completely but it can only be one activity with multiple tasks. Would like to be able to add at least another additional activity. Find we add heaps of details to the tasks/notes and it can become messy. There’s not enough to warrant a whole new process but too much to fit into just the one activity
