Capture and report on user search behaviours
Suggestion to capture and export user search data via Reports.
This data would include:
- What search terms are users inputting
- What are the follow through rates i.e. What terms are users searching where they are getting no results or not following through and clicking any returned results?
- What are is the traffic against processesThis functionality would give us a really good insights into:
1. How we could improve how we articulate our processes and use the Keyword search fields.
2. What are user behaviours and help guide our training i.e. if users are using the search…7 votes -
Modify Ownership & User Rights Report to Include Process Writers not Editors of Groups
We are trying to track who is actually writing processes (published and unpublished) and there is no report that shows that or dashboard view for the Promaster. We can export to show process editors but it is useless and only shows editors of a group not processes, and those people have the rights to approve a process - not sure why a process editor would have the rights to approve a process.
Our writers do not approve the process. Only the SME & Owner is responsible for that.
Therefore, we have no way to report on who is actually writing…

Feedback made available to additional approvers to respond
Additional approvers should have the full functionality, vision and capability to respond to feedback not just the owner/expert.
If an additional approver is part of the approval process then they should receive an email regarding actioning feedback.

View feedback on the dashboard
Hi, received the following suggestion from one of our users:
"I note I can only identify where I have given feedback if I navigate to the feedback dashboard; is there something that could be displayed /flagged on the front screen of 'processes I'm in' to save the user duplicating a response they have previously given - something more visual would be beneficial."4 votes -
Change landing page to Summary
When you first create your process, the first page that you land on is the Procedure Page but in reality, you need to first land on the Summary page to make minor changes and then move to the Triggers and Inputs Page and then to the Procedures Tab. It would make it easier to train if you start at the top tab and work your way down.

Disable 'Submit for Approval' while @TODO items are present
There are instances when process editors overlook resolving @TODO items prior to submitting processes for approval. It would be helpful if the system could prevent the submission of processes while there are unresolved @TODO items present. Perhaps when the user goes to click 'Submit for Approval' a window could appear advising that there are unresolved @TODO items and call out where in the process these are.

Remove roles/responsiblities through user import functionality
The file upload of users that have changed their role, is adding their new role to their User profile, but is not removing the old roles.
With nearly 9000 users it is a huge administrative task to remove roles manually.
It would be great to be able to use the user import function as a true update of the users profile.

Change welcome email text
Hello - I would love it if there was a way to change the text in the welcome email from Nintex Promapp when we assign licences to staff. At the moment, I have to send a second email to each person.

Specify the 'Next' and 'Continue' Activity IDs in Process Text Description
For decisions on a Process map it is obvious which Activity the "Yes" and "No" alternatives point to; however in the text description (the 'Procedure') it is less clear, and can be confusing for those users who prefer to read text without referencing the map.
It would be helpful if the text description could be expanded to include the IDs of the Activities for the 'Yes' and 'No' alternative paths.

Automate role changes and exits
Updating roles for users and reassigning tasks takes significant time by the Promasters.
Could automation be built into Promapp allowing quicker position changes? Maybe an excel import that updates employee's assigned roles and deactivates others?
As an added bonus, making exiting staff inactive and possibly reporting on inactive staff with processes?If any one has feedback on how they go about it, I'd be happy to hear it.

Policy links shouldn't display them as "Processes"
When a Policy link is added to a Process (e.g. within a Note in the Process), the link reads "Process" which can be misleading.
For example, at CST we have a Policy that describes when funds leaving an account should be processed as a Withdrawal vs. a Reversal (see attachment 1).
But when that Policy is linked to a Process, the link doesn't say "Policy", it says "Process" see attachment 2). Ideally, the link should say Policy.

Apply promaster role by file structure
We are a large organisation and have many different Business Units that can access other Teams processes. To enable them to be self sufficient if we could apply the Promaster access at a file level this wouls allow the Teams to be able to add additional approvers and move their file structure around etc without some of the other Promaster functionality

Add a drop down when selecting group shortcuts
Need the ability to filter through files when selecting a process group shortcuts, we have alot of processes and it is hard to establish when they have the same file structure in different BU's where to place the shortcut process.
Similar to Note - add procedure : where you have a search bar available
12 votesWe are looking at revamping that page in the next year and the search could be a good addition. We will also be updating the visualization of the folder structure so it’s easier to navigate.

Excel Exports to include Process ID
I think it would be great if the Excel exports includes the Process ID. An example of a use case would be:
Following up on overdue (review) processes. We would download the report, and follow up with the process owners and experts (outside of Promapp).
Then if we were to run the report again a week later, we can use the Process ID to filter out the ones we have already contacted.We can use Process names at the moment, but that can be changed (in the future) and is not something unique that stays with the process.

Create an Overview (end to end) Process View automatically
Provide the ability for Promapp to automatically create overview (end to end) process views from process that are linked together instead of having to manually create that overview.

Notifications for Reviews
Recommend adding a configuration option to email owners and experts when a process requires review with the ability to set an advance notice (e.g. an email notification to be sent 1 week or 1 month in advance of a review due date).

Ability to export the Groups structure
To enable an audit of the Groups structure it would be great to have the ability to export that structure out of Promapp and into Excel for example.

Surface email addresses in Reports.
Can we surface email addresses in the reports so that Owners and Experts can be easily emailed from any report. This accounts for any discrepancies between the Names in any report and official names that link to emails in our company systems.
