  1. SAML - Attribute Based Assignment possible

    We are shifting to AzureAD as our Identity and Access Solution. We have been told your product doesn't support Attribute-Based Assignment.

    The assignment of users should be able to be completed using with attribute-based functions Example expression:
    AAD Group = "MarketingUsers" then added to Promapp role “Marketing”

    Users can then be assigned the correct roles when they join or move teams automatically instead of the manual process which involves a delay to the user and a waste of admin time in provisioning and in UAR (user access review)

  2. Aditional User Type allowed to Create Porcesses in Certain Allocated Groups

    There seems to be no middle ground between allowing all users to create process maps to then restricting it to only POs,PMs and BAs. It would be good to allow some users to be able to create process maps in selected groups, but not give them the same admin rights and powers of a BA or a PM.

  3. search window in minimode

    When sharing a process group or groups in minimode, recipients can't avail of a search function. They have to click through the hierarchy and forage to find relevant processes, documents or forms.
    Having the awesome Promapp Search functionality in minimode would make this feature so much more powerful.

  5. Lean tag map (reporting) improvements

    When it comes to lean tags there is a lot of workarounds and it is not user friendly at all. When producing a lean tag report the link to the process should be included, like with other reports, it is not when you save it into Excel, only when in the PDF view. When you have 1,000s of lean tags that need to be sorted the Excel view is the only option. Please add process links to the export.

  6. Ability to modify approval settings

    It would be good to have the ability to modify approval settings/configurations for the approval module in Promapp. E.g. have settings for processes previously published and only updated not have to go through an approval process and just to go the publishing stage to be reviewed. Also the ability to set if stakeholders have to approve processes and settings that if a Promaster approves a process then other approver's tasks are over-ridden and the process goes for publishing are a few settings that would be nice to be able to modify.

  7. View unpublished processes

    We have the ability in My Dashboard > My Reviews to view published processes which are due for review, but there is no similar function to view processes that have been saved, but forgotten to publish.

    Requesting please for an 'unpublished processes' tab to list those that require review

  8. Add the option to assign the sub-process in a portfolio to a system (where the process is automated)

    We want to assign a sub-process within a portfolio (mega-process) to a system (Oracle) as the sub-process called ‘Generate PO and send to Supplier’ is done automatically by the Oracle system.
    We have Oracle listed on our Promapp systems list, and can use it to assign swimlanes within a process to certain steps, but it does not come up as an option to assign it in the portfolio level.

  9. Have the option to split company dashboard into lower groups for embedding.

    The company dashboard shows useful data, however, we have three sub-groups that have separate viewing permissions and only want to display the information for one of these. At the moment there is only the option to embed the whole dashboard or quite manually generate a separate dashboard.

  10. Ability to create new roles within the Add User function

    I often need to add a large number of new users at a time. It is very time consuming, and I don't know if their role exists unless I have a separate screen open to search the roles, and then add new roles if needed.
    It would be a big time saver if I could do this within the Add User screen, where I could click on "Add Role/Responsibility" and if the role isn't available, I could have the option to add a new one and assign to that new user from the same screen, rather than having to close…

  11. Set default print options

    It would be great to set default print options for the company to have a standard when generating a PDF for a process.

    As a Promaster I can set the default print options to what the company agrees on e.g. Flowchat ticked, Timeframe unticked, Colums 1, etc...
    The users can individually select other print options if they need to when printing the individual process.

  12. Ability to change ordering of Systems under Map view

    Systems are currently ordered alphabetically when selecting the 'Systems' option within the map view of a process.

    Is it possible to add a feature where a user could choose to order them by 'Step(s)' instead?

  13. Ability to archive groups

    When we have archived all documents and processes within a group and an empty group remains, we are unable to delete or archive the group due to the content connected to it in the archive.

    We would like to have an ability to archive a group where it is empty of current content.

  14. Reference field in User Profile

    One of our analysts has requested a user reference field in the user profile. This would allow us to cross reference with another system using employee number.
    You could even have phone number and a way to download a nice contacts list.

  15. Prevent users being disabled if they are a PO or PE

    It is currently possible to disable users when they are a PO/PE.
    There is no warning to tell you that you need to reassign their process ownership/expert responsibilities. Then when you go to reassign their processes as Process Owner, if the Process Expert is also disabled, it is not possible to reassign the PO.

    A few solutions:
    1) Prevent users being disabled if they are a PO or PE
    2) Warn the Promaster that they should be reassigned first
    3) Allow a PO to be reassigned even if the PE is disabled and vice versa.

  16. Allow the entering of other costs to get more complete view of total cost of process

    We are able to get cycle cost now, by adding time to activities and assigning the role to the activity. But that doesn't cover all the costs that may be associated with a process. Would be nice to be able to enter other costs as well, such as software cost, storage at Iron Mountain, etc. This would allow us to get a more complete view into the total cost for that process.

  17. Restrict "group management" to Promasters - Functional Model

    Restrict "group management" to Promasters. I have had instances of users creating groups and it is making our folder structure wonky
    We have it set so the "users" are the ones still in training, and only have access to the training folder. Once they produce a few maps, we update their settings to "business analyst" so they can create maps anywhere in the system. We don't want them creating folders/groups though.

  18. Include a 'Reviewed It' button for when Explicit Reviews (configuration) is turned OFF

    When Explicit Reviews are turned OFF, the 'Out of Date' is calculated based on the last published date which is great.

    However if a process has not been updated (or is still current) after the expiry duration, the process becomes 'Out of Date' and currently the only way to make this process a published process again is to edit the process (just click around so the Save button appears) and the re-submit the process for approval and then publishing. This is because when Explicit Reviews are turned OFF, the 'Reviewed It' button is no longer available.

    This doesn't make sense...…

  19. Change system list requirements to allow spaces in the system names

    Currently system names can only contain alphanumeric, hyphen, and underscore characters. Spaces can be included in system tags, however, it is the system NAME that is used if a system is assigned to created a swimlane.

    This means that system names that should have spaces either have no spaces or underscores.

    The fact that it looks a bit "ugly" is a blocker for some users adopting Promapp and I have been asked to add some of the systems as roles instead because it looks nicer (see example attached).

  20. Publication Declined should revert new process to Unpublished instead of In Progress

    A new Process is in PAW (revision 0.xx) and Awaiting Publish. Once declined and back into editing state, it lists as In Progress. Instead, it needs to revert to Unpublished because the process has not been previously published. This inaccurate label confuses reporting.
