  1. Improving the automatic dashboard notification email

    Would we improve the look and feel of the automatic dashboard notifications include:
    - Allowing us to customise the messages which appears
    - Extend the hyperlink in the email to either the entire box or also the number in the coloured, not just the text (please see attached image).
    Currently the hyperlink is only clickable if you click the words "Process Changes" or "Document Changes", however I am finding that users are trying to clicke the number in the colour box, or just the box area in general.

  2. Process approval workflow order preference

    When processes require approval the 'Subject Expert' should approve prior to the 'Owner' as best practice, however, Promapp does not allow that. With Promapp, the 'Owner' can approve prior to the SME and has no visibility as to whether the SME has previously approved. This causes issues with SME no longer having the Approval button on the process, plus often the SME may have changes that can't be made once the 'Owner' has already approved.

    It would be more suitable for the SME to approve prior to the process notification for approval going to the 'Owner' for approval.

  3. Have different branding options for different group of processes

    Hello,

    we use brands for e.g. our project management framework, including a logo. Therefore it would be great to have different 'branding options', so we can e.g. include the project management logo into all related processes.
    This is quite important for us, we strive to map all our processes in Promapp, but without branding option our marketing team will still recreate thosel processes in InDesign and we lose quite a lot of ability...

  4. Processes I'm In Search field more visible

    If the search field was more obvious then users would be able to find it. Then magnifying glass symbol is okay but the rest of the field could stay open instead of expanding.

  5. Make some text boxes larger (Trigger/Starts, Inputs, Outputs)

    It would be great if the Trigger/Starts, Inputs and Outputs text boxes were larger/longer. It's difficult to type in, particularly for people learning to use Promapp, after typing a few words you can't see your sentence in full.

  6. Scroll the visible screen when dragging a task to another activity

    When editing a process and the user needs to drag a Task to an Activity that is not on the visible screen, the screen should automatically scroll when the task is dragged past the top or bottom of the activity list. Right now you have to drop the task close to edge of the list; scroll the screen; drag and drop; scroll; etc.

  7. Customisable Tags and a new Tag Report

    Currently there are Tags for Lean, Document, Timeframe.
    It would be helpful if there was the ability to be able to create new categories for Tags e.g. Asset.
    Aligned to this would be the need to then have a report that list all processes where the tags are used.

  8. Adding Roles as consulted in RACI

    When adding a role to the RACI (Consulted), the list is displayed in alphabetical order but not searchable. Would be useful if it were able to be searched similar to when assigning a role to an activity.

  10. Search role list when doing user maintenance

    We have a lot of roles and you need to scroll down the list to add or change a role. It would be helpful to have a search capability in this pop up box, or be able to jump to the section by alphabet.

  11. Disable Autocomplete on Promapp

    Not really a feature but more highlighting a current issue we are experiencing (but was asked to post it here by Nintex Support).

    Currently Promapp has Autocomplete enabled on the site, so whenever a user tries to create a new process the 'Process Owner' and 'Process Expert' fields are both mapped to 'name' for autocomplete.
    If the user ends up clicking their name when autocomplete is shown, this causes Promapp not registereing the user as it was entered as plain text.

    Ability to lock down the My Profile picture and ability to sync picture with Office365 profile. Some organisations like ours requires professional looking pictures and not allow users to add in silly pictures/characters.
    1. Add a setting in config settings to allow/not allow user to update their profile picture
    2. Allow option to sync with Office365 profile pictures.

  13. Ability to add roles to a responsibility

    As mentioned by Peter on the idea to increase the number of roles allowed to be assigned to an activity …

    The ability to add Roles to a Responsibility (in addition to being able to assign named persons to a responsibility) would be great and improve the communication of process changes to the right staff.

    Currently we only add staff to their job role, not to a generic responsibility as it's just not practical from a maintenance point of view to do so.

  14. Show what checklists users are assigned to

    Would it be possible to show what checklists users are assigned to under their User profile e.g. like we can see which processes and groups they're assigned to under their user profile. This would assist to re-assign checklist tasks for those users who leave. At the moment there's no visibility over any checklists a user may be involved in from a system management level.

  15. Groups: Produce report on list of groups

    My business wants to be able to see the list of groups (with or without processes) so we can identify the groups (business functions) that still need mapping. The reports allow for the export of process lists but not a list of process groups. There is absolutely no way to do an audit on the process groups without it being done one at time. Not efficient at all.

  16. More detail in Status column of the Process List report

    It would be great to have more detail in the Status column of the Process List report. Currently there seems to be only Published or Unpublished. I'd like to see 'Awaiting Approval' or 'In Progress' rather than 'Unpublished'. That way it would reflect the status as shown in the process itself (next to the title).

  17. User Management

    I am the Administrator of the website and would like to have the possibility of naming a "User Promaster", who would be entitled to have Promaster rights to edit users, without being able to see all the other notifications that a normal Promaster would get. Typically, I would like our HR Manager to be able to be responsible of the User Management system as she is the most adequate person to update this as soon as there is a change.

  18. Ability to alter the brand and colours

    Having the ability to alter the colours of Promapp would be a useful feature for organisations to customise it to their own branding.

    You can currently do this for the emails, which is great. However being able to do it for the general site would also be very helpful with embedding the system within the business.

    Even a small change such as allowing Promasters to customise the blue bar, buttons and font would be a significant change.

  19. Create config setting to restrict ability to Manage Groups

    The ability to create and manage Groups is causing issues with the defined structure regardless of the training that has been provided to editors.
    Improvement idea:
    Create a config setting to allow edit ability for Groups to be restricted to Promasters only, to Promasters and Business Analysts only (i.e. two options.

  20. Glossary - Acronyms, Phrase, definition

    To improve glossary functionality I propose the following.
    1. There should be a data type called acronym as part of the glossary.
    This should be case sensitive. This would allow for the organization to set its own acronyms and thus ensure effective use.
    2. allow for users to have mulitple instances of an acronym. POC- Proof of concept, point of contact, . Allowing the process writer to designate a definition.
    3. If there are dominant definitions within Promapp instances, for example APQC, SAP, BPM, these could be part of a larger glossary function to help share concepts across multiple organizations.
