Process Approval Workflow Report
Within the Process Approval Workflow Status report can we add the notes for when someone approving has been \declined. Currently you can only see this in the other report but is relevant here for checking what is outstanding

Build sort of wizard to help us undo process linkages for deletion
Perhaps this is just rookie error but my colleagues and I have had very difficult time figuring out all the the linkages between processes and process groups that need to be undone in order to archive and delete. I suspect there could be better prompts or automated breaking of links
28 votesYou are not the only customers to have this trouble and we are actively working on how to address the whole archive/delete experience. You should start to see updates in the product later this year.

Process hits by user - admin reporting function - to include embedded processes
Currently hits by users on embedded processes do not show up in "Process hits by user" or any other report.
To explain further
What I am interested in is “Process hits by user” as this gives a feel for who is viewing and using what in terms of Promapp processes - this gives a picture on the buy-in from staff i.e. are they accessing and using Promapp appropriately or is it being bypassed or ignored.
Because we have a shared Quality Management System manual with the “Simpli” instance of Promapp a large number of Process variation instances (Wellington City Council…

Capture and report on user search behaviours
Suggestion to capture and export user search data via Reports.
This data would include:
- What search terms are users inputting
- What are the follow through rates i.e. What terms are users searching where they are getting no results or not following through and clicking any returned results?
- What are is the traffic against processesThis functionality would give us a really good insights into:
1. How we could improve how we articulate our processes and use the Keyword search fields.
2. What are user behaviours and help guide our training i.e. if users are using the search…7 votes -
Remove roles/responsiblities through user import functionality
The file upload of users that have changed their role, is adding their new role to their User profile, but is not removing the old roles.
With nearly 9000 users it is a huge administrative task to remove roles manually.
It would be great to be able to use the user import function as a true update of the users profile.

Policy links shouldn't display them as "Processes"
When a Policy link is added to a Process (e.g. within a Note in the Process), the link reads "Process" which can be misleading.
For example, at CST we have a Policy that describes when funds leaving an account should be processed as a Withdrawal vs. a Reversal (see attachment 1).
But when that Policy is linked to a Process, the link doesn't say "Policy", it says "Process" see attachment 2). Ideally, the link should say Policy.
15 votesThank you this suggestion. Let me chat with the team about how we identify process versus policy in the code and see if this is a quick fix.

Auto generate combined process map
One of the major strength's of Promapp is the ability to connect individual processes to show the bigger picture and create context.
To help create this, some of our teams are creating 'overview' processes which are made up of Process Links (no additional activities). However these take a bit of time to create and manage and it would be useful if they could be auto-generated (even if they didn't have swim lanes). I've seen this done before in other process mapping tools where it draws arrows between the processes that have a relationship (through triggers/outputs).
22 votesDamien, are you able to share the overview processes that you are manually creating so we have a full view of the request?

More obvious display of pending approvals
When a process is sent for approval, it shows up in the approvers dashboard. To see who has/hasn't approved it, you need to place your mouse over the person icon.
This isn't intuitive and is missed by most people and is one of the more common queries I get from experts and owners.
If this icon had a header (like the rest of the fields) this would help draw attention to it. There also might be a better way of displaying this, such as a count or percentage of approvals completed. Or a series of checkboxes that show approval vs…

Ability to export the Groups structure
To enable an audit of the Groups structure it would be great to have the ability to export that structure out of Promapp and into Excel for example.
The export could look something like the attached screenshot.22 votesThanks for this Gary! I’ll share the screenshot with the team and we’ll consider how we may be able to accommodate this need. We will update as we have more details

Modify Ownership & User Rights Report to Include Process Writers not Editors of Groups
We are trying to track who is actually writing processes (published and unpublished) and there is no report that shows that or dashboard view for the Promaster. We can export to show process editors but it is useless and only shows editors of a group not processes, and those people have the rights to approve a process - not sure why a process editor would have the rights to approve a process.
Our writers do not approve the process. Only the SME & Owner is responsible for that.
Therefore, we have no way to report on who is actually writing…

feedback
Ability to reassign a feedback to another page. Users are commenting on a Policy page instead of the Procedure page. Our Owners/Experts in some teams are finding that they are redirecting the user to the correct page often and it would be easier to shift the feedback to the right page for them.

Add Contact Details To Process List Report
Add User Name or Email Address details to Process List report - currently there is First Name and Last Name is available. As a governance piece, different business units would like to contact Owners and Experts for specific processes from different folders within Promapp. It would also identify active team members via Owner/Expert information which will allow the creation of mailing lists for business units (this is difficult to separate out into business units when you pull a full User List)

Named stakeholders don't show in user management
Individuals can be named in a process as stakeholders and approvers. This is helpful but this isn't reflected in the user management screen.
We've just discovered that someone who left the company (and had their Promapp account expired) is still marked as a stakeholder in a number of processes.

Feedback made available to additional approvers to respond
Additional approvers should have the full functionality, vision and capability to respond to feedback not just the owner/expert.
If an additional approver is part of the approval process then they should receive an email regarding actioning feedback.

Excel Exports to include Process ID
I think it would be great if the Excel exports includes the Process ID. An example of a use case would be:
Following up on overdue (review) processes. We would download the report, and follow up with the process owners and experts (outside of Promapp).
Then if we were to run the report again a week later, we can use the Process ID to filter out the ones we have already contacted. We can use Process names at the moment, but that can be changed (in the future) and is not something unique that stays with the process.
12 votesThanks for this suggestion. I believe you may get this functionality with our new Reporting APIs but I will follow up

Ability to update users profiles using and AD connector
Promapp has no true AD connection even with SSO. Using the AD connector and a Promapp connector, be able to set Promapp roles and global variations in a dynamic was. so that when new people get hired they can be automatically provisioned in PROMAPP
33 votesI’m happy to share that we have deeper AD integration on our roadmap. We will update you as we have more specific timing.

View feedback on the dashboard
Hi, received the following suggestion from one of our users:
"I note I can only identify where I have given feedback if I navigate to the feedback dashboard; is there something that could be displayed /flagged on the front screen of 'processes I'm in' to save the user duplicating a response they have previously given - something more visual would be beneficial."4 votes -
Add a drop down when selecting group shortcuts
Need the ability to filter through files when selecting a process group shortcuts, we have alot of processes and it is hard to establish when they have the same file structure in different BU's where to place the shortcut process.
Similar to Note - add procedure : where you have a search bar available
12 votesWe are looking at revamping that page in the next year and the search could be a good addition. We will also be updating the visualization of the folder structure so it’s easier to navigate.

Improve navigation
Could you make your navigation in Promapp more like the standard MS Windows-style folder navigation? This would make it more second-nature to find things.
Particular problems: 1) The UI uses three "home" buttons (see attachment). 2) It's unclear how to go up a level. Can I also use the browser back button? 3) The tiny links next to the third "home" button are not easily identified as containing folders. Thanks!!

Apply promaster role by file structure
We are a large organisation and have many different Business Units that can access other Teams processes. To enable them to be self sufficient if we could apply the Promaster access at a file level this wouls allow the Teams to be able to add additional approvers and move their file structure around etc without some of the other Promaster functionality
12 votesThanks for this Sara. I’ve opened for voting so we can gauge interest but this makes a lot of sense.
