    There is no way to delegate your approvals when going on annual leave. There is the capability to bulk transfer Process Experts or Process Ownership but updating Additional Approver and Publishers has to be updated by each individual Process

  3. Improve the archiving functionality

    We have had a replacement of one of our key legacy systems with many of our processes now irrelevant as a result. The task of cleaning up has proven to be time consuming, frustrating and impossible to do within the application. I appreciate the concern about safely archiving the processes, but not at the cost of losing engagement of our staff with irrelevant processes now residing in our Promapp and being included in searches, reporting and dashboard.

    Features that would improve the archiving process from my point of view are:

  4. Review all images and documents attached to a process under the process review, rather than separately

    With hundreds of processes requiring review that include 10 or more screenshots or videos (images) it is painfully time consuming going through each item individually for each process. As these images also require a review it creates hundreds of items for review in the backlog.
    As all images, videos, and documents attached to a process are reviewed at the time of the process review it would awesome if when a process is reviewed that all the attachments are considered reviewed and marked as complete at the same time.

  5. Include ability to do text formatting within tasks and notes (text editor)

    This request has come up time and time again and pertains to procedure view rather than map view. There are times we'd like to call special attention to viewer to some section(s) and currently it's quite challenging.

    Due to the Promapp paradigm that the best processes are simple, streamlined and very uncluttered, this is not on our roadmap for the short term.

    While we won’t recommend this approach for the same reasons as above, you may consider using *asterisks" ALL CAPS or other basic callouts if needed. I realize this isn’t your ideal solution but after so many years of seeing what works and what doesn’t, we want to make sure we aren’t losing our core paradigm.

  6. Mobile Access

    There is a large need to be able to consume process information on a mobile device while away from a desktop - example: in a factory or plant, maintenance in the field, sales on the road, etc.

    This could be through an app for Promapp or a responsive site that could be more easily consumed on a phone or tablet.

    This is an important aspect and we want to get a super modernized, highly usable mobile experience in Promapp. This effort is behind a number of other priorities right now but we will update when we have a clearer view of timelines. I do not expect to get to this this calendar year.

  7. API reporting capabilities

    Some immediate benefits we are looking for are:
    - Ability to create reporting/ dashboard based on company specific KPI's
    - Ability to combine data from other company systems i.e. Learning Management System into one report/ dashboard
    - Ability to schedule and automatically email reporting

    Hi all! Sorry for the slow response on this one as well as the delayed release. We will be releasing the Reporting API for Improvements Add on in Sept 2019 and next up will be API for Process data, followed by risk but timing on those is TBD.

  8. Allow the Add Task, Add Note, Add Document function to scroll down when adding tasks

    When adding tasks to an activity you are required to scroll up to the top of the activity to add a note or attach/link a document. If the system would freeze the task bar at the top of the screen so the functionality was always available that would allow for easier use. This could be set up similar to the Add Activity, Add Process Link functionality that currently exists.

  9. Process and Document Review dates configuration more flexible

    Review dates should calculate from the date the review is DONE not the day it is due.
    review dates should be more flexible - if review is done in the middle of the review period why can't we mark it as reviewed and reset the schedule?

  10. "Back" button

    Add a "back" button that will also users to click through linked processes and get back to where they started. With breadcrumbs turned off, there is not efficient way for end users to walk through a complex process.

  11. Option to decide if a document (image, video, pdf, etc) should be added to the Promapp library

    When writing a process with attachments, especially screenshots, it is often not necessary for that image to be added to the documents library. It would be great to be able to tick a box that says this document is not required in the library but is still attached to the process, that way it would reduce image clutter in the library (that really should be for documents) and reduce the amount of reviews required on individual document library items

  12. Better system for lean tags

    We use lean tags a lot and some of the most frustrating things with this feature are we had to create work around because we didn't want the user experience to be polluted by potential improvement ideas found during the writing process. We hide our lean tags in 'hidden activities' but it doesn't hide it on the procedure view, only on the map view.

    In addition, there is no way to track whether a lean tag has been actioned (implemented, reviewed, not accepted) in Promapp.

    It would be great to see:

  13. Trigger email sent to owner/experts of dependancies/inputs/outputs when a change to the process occurs

    When a change is made to a process a trigger email should be sent to any Dependancies/Inputs/Outputs process process owners/experts to see if the change effects their process - this would allow end to end thinking and visibility of changes

  14. Ability to title documents in document library

    Currently documents in the library inherit their title from the name of the file. You cannot give a title to a document. Add the functionality to title a document, separately from it just inheriting the name of the file. Also currently the only way to change the title of a document is to rename the file and actually upload a new file - hence changing the revision of the document. All very messy.

    Ability to record a business area with a user as part of their profile so that reporting can be created by business area. At the moment there is no way to work out which business area a user belongs to
    i.e. if wanting to report on ‘Promapp Activity’ by business area via
    a. Number of staff of the business area that have been set up as a Promapp user
    b. Number of staff of the business area that have logged into Promapp
    c. Number of staff of the business area that have viewed processes

  16. Tagging an entire process

    Our organisation has a need to tag processes and documents according to which regulatory standard they align to. We'd like to use Lean tags for this. However, Lean tags can be applied to activity or task levels and show up in line with the text. It would be helpful to be able to tag and report on entire processes and documents using the same tagging system (currently tags can't be the same for Lean and documents), and for this not to display in line with the process name. Perhaps it could appear in the summary section.

  17. Reporting figures on dashboard not a true indication of actual figures

    I cant pull a report that provides me with your fugure of 1321 and this is what I expect to get when I click on view report and have processes in this instance prior to Jan. Tags being updated or system log changes are not physical changes to a process this is more administrative.

    I need a report that provides me with what processes have not been touched in the last 6 months and that be reflective in the report I get. This way of reporting is not helpful and causes lack of trust in what the reporting reflects.

  18. Improve @todo layout in Edit procedure - make it wider!

    Currently the @todo box that displays at the bottom of the screen is a tiny narrow list:
    - hard to read.
    - shows limited items and requires scrolling
    - plenty of space available to make the box wider
    - easy CSS (style sheets) fix

    A few votes will help to make this easy fix and usability improvement.

    The one on the left is the suggested fix, the one on the right is the current @todo layout.

  19. View documents without having to download and save

    Each time a document or file is viewed it has to be downloaded to the computer and is stored on the hard drive, usually in a default directory. It would be useful if downloading was an option or at the very least an option to delete the document after it was downloaded and viewed. e.g. if one wants to view a PDF on the web this can be done without having to download the file.

  20. Process Review - Reviewed It vs Publishing Changes

    Currently for an 'Out of Date' process:

    If no changes are required, the Process owner/expert will go into their "My Reviews" page, click "Reviewed It" and provide a comment like "No changes required".

    If changes are required, the Process owner/expert will go into the process, make the necessary changes and get it published. However this still required the Process owner/expert to go back into "My Reviews", click "Reviewed It" and provide a comment (which will be the same comment as the comment left for submit for approval).
