Increase number of roles able to be assigned to an activity to more than 6
Currently there is a limit of 6 roles able to be assigned to any activity. This has lead to having to create an increasing number of group roles or responsibilities purely to use for the process e.g. xx requestor, xx approver, etc. I would like to be able to add all of the roles that will perform this action. Creation of additional roles creates an unnecessary administrative burden.

Delegation of Process Responsibilities
There is no way to delegate your approvals when going on annual leave. There is the capability to bulk transfer Process Experts or Process Ownership but updating Additional Approver and Publishers has to be updated by each individual Process

Allow the Add Task, Add Note, Add Document function to scroll down when adding tasks
When adding tasks to an activity you are required to scroll up to the top of the activity to add a note or attach/link a document. If the system would freeze the task bar at the top of the screen so the functionality was always available that would allow for easier use. This could be set up similar to the Add Activity, Add Process Link functionality that currently exists.

Ability to add Process Group as a Favourite
Being able to add a Process Group as a favourite would make working much more efficient as I wouldn't have to constantly navigate through specific pathways to get to the process group I am working in.

Trigger email sent to owner/experts of dependancies/inputs/outputs when a change to the process occurs
When a change is made to a process a trigger email should be sent to any Dependancies/Inputs/Outputs process process owners/experts to see if the change effects their process - this would allow end to end thinking and visibility of changes

Automatic updating of Process Titles
Currently it appears that when you update a process title, it doesn't automatically update the title if it is linked inside another process. Sometimes, to update this, you need to delete the process link and re-attach it so that the correct title name shows.
It would be great if the system could automatically update the titles of processes linked within other processes.

Report on broken links
It would be extremely useful if Promapp could at the very least produce a report on any broken web links in processes (ie. links to intranet or internet that are no longer accurate or available)

Process Review - Reviewed It vs Publishing Changes
Currently for an 'Out of Date' process:
If no changes are required, the Process owner/expert will go into their "My Reviews" page, click "Reviewed It" and provide a comment like "No changes required".
If changes are required, the Process owner/expert will go into the process, make the necessary changes and get it published. However this still required the Process owner/expert to go back into "My Reviews", click "Reviewed It" and provide a comment (which will be the same comment as the comment left for submit for approval).
Suggestion would be to:

Mass transfer of @TODO (eg. when someone leaves the company)
When you transfer Ownership (Owner/Expert) of a process, you should also get the option to transfer any @TODO within that process that are assigned to the same person.

Review all images and documents attached to a process under the process review, rather than separately
With hundreds of processes requiring review that include 10 or more screenshots or videos (images) it is painfully time consuming going through each item individually for each process. As these images also require a review it creates hundreds of items for review in the backlog.
As all images, videos, and documents attached to a process are reviewed at the time of the process review it would awesome if when a process is reviewed that all the attachments are considered reviewed and marked as complete at the same time.31 votesThanks for this suggestion! Include ability to do text formatting within tasks and notes (text editor)
This request has come up time and time again and pertains to procedure view rather than map view. There are times we'd like to call special attention to viewer to some section(s) and currently it's quite challenging.
29 votesDue to the Promapp paradigm that the best processes are simple, streamlined and very uncluttered, this is not on our roadmap for the short term.
While we won’t recommend this approach for the same reasons as above, you may consider using *asterisks" ALL CAPS or other basic callouts if needed. I realize this isn’t your ideal solution but after so many years of seeing what works and what doesn’t, we want to make sure we aren’t losing our core paradigm.

Specify the 'Next' and 'Continue' Activity IDs in Process Text Description
For decisions on a Process map it is obvious which Activity the "Yes" and "No" alternatives point to; however in the text description (the 'Procedure') it is less clear, and can be confusing for those users who prefer to read text without referencing the map.
It would be helpful if the text description could be expanded to include the IDs of the Activities for the 'Yes' and 'No' alternative paths.

"Back" button
Add a "back" button that will also users to click through linked processes and get back to where they started. With breadcrumbs turned off, there is not efficient way for end users to walk through a complex process.

Better system for lean tags
We use lean tags a lot and some of the most frustrating things with this feature are we had to create work around because we didn't want the user experience to be polluted by potential improvement ideas found during the writing process. We hide our lean tags in 'hidden activities' but it doesn't hide it on the procedure view, only on the map view.
In addition, there is no way to track whether a lean tag has been actioned (implemented, reviewed, not accepted) in Promapp.
It would be great to see:

Show draft/unpublished processes that are using documents
Documents cannot be deleted if they are attached to a published process (which is fair) however they also cannot be deleted if they are attached to an unpublished process, which is harder to track down.
This also makes identifying orphaned documents much harder since there are false positives.
Showing the unpublished processes (along with an indicator) would make this much easier.

Option to decide if a document (image, video, pdf, etc) should be added to the Promapp library
When writing a process with attachments, especially screenshots, it is often not necessary for that image to be added to the documents library. It would be great to be able to tick a box that says this document is not required in the library but is still attached to the process, that way it would reduce image clutter in the library (that really should be for documents) and reduce the amount of reviews required on individual document library items

Allow a role to be assigned multiple times in a step
Some of our process steps require multiple assignment of a same role. Need to be able to assign two developers or two business analysts or multiple of any role to one step. Currently we have to create roles that combine a different number of a particular role.

Process and Document Review dates configuration more flexible
Review dates should calculate from the date the review is DONE not the day it is due.

Risk Module - Heat Map for Classifications
To enable us to be able to use this module for project risks, it would be great if the heat map could drill down by classification or group of classifications. This would allow us to have a portfolio titled 'project risks' with a classification for each project. Unless there is a better way to do this that anyone can let me know of?
