  1. Improve the archiving functionality

    We have had a replacement of one of our key legacy systems with many of our processes now irrelevant as a result. The task of cleaning up has proven to be time consuming, frustrating and impossible to do within the application. I appreciate the concern about safely archiving the processes, but not at the cost of losing engagement of our staff with irrelevant processes now residing in our Promapp and being included in searches, reporting and dashboard.

    Features that would improve the archiving process from my point of view are:

  2. API reporting capabilities

    Some immediate benefits we are looking for are:
    - Ability to create reporting/ dashboard based on company specific KPI's
    - Ability to combine data from other company systems i.e. Learning Management System into one report/ dashboard
    - Ability to schedule and automatically email reporting

  3. Mobile Access

    There is a large need to be able to consume process information on a mobile device while away from a desktop - example: in a factory or plant, maintenance in the field, sales on the road, etc.

    This could be through an app for Promapp or a responsive site that could be more easily consumed on a phone or tablet.

  4. Review all images and documents attached to a process under the process review, rather than separately

    With hundreds of processes requiring review that include 10 or more screenshots or videos (images) it is painfully time consuming going through each item individually for each process. As these images also require a review it creates hundreds of items for review in the backlog.
    As all images, videos, and documents attached to a process are reviewed at the time of the process review it would awesome if when a process is reviewed that all the attachments are considered reviewed and marked as complete at the same time.

  5. Reporting - Add 'business area' to user profile

    Ability to record a business area with a user as part of their profile so that reporting can be created by business area. At the moment there is no way to work out which business area a user belongs to
    i.e. if wanting to report on ‘Promapp Activity’ by business area via
    a. Number of staff of the business area that have been set up as a Promapp user
    b. Number of staff of the business area that have logged into Promapp
    c. Number of staff of the business area that have viewed processes

  6. Option to decide if a document (image, video, pdf, etc) should be added to the Promapp library

    When writing a process with attachments, especially screenshots, it is often not necessary for that image to be added to the documents library. It would be great to be able to tick a box that says this document is not required in the library but is still attached to the process, that way it would reduce image clutter in the library (that really should be for documents) and reduce the amount of reviews required on individual document library items

  7. Include ability to do text formatting within tasks and notes (text editor)

    This request has come up time and time again and pertains to procedure view rather than map view. There are times we'd like to call special attention to viewer to some section(s) and currently it's quite challenging.

  8. "Back" button

    Add a "back" button that will also users to click through linked processes and get back to where they started. With breadcrumbs turned off, there is not efficient way for end users to walk through a complex process.

  9. Better system for lean tags

    We use lean tags a lot and some of the most frustrating things with this feature are we had to create work around because we didn't want the user experience to be polluted by potential improvement ideas found during the writing process. We hide our lean tags in 'hidden activities' but it doesn't hide it on the procedure view, only on the map view.

    In addition, there is no way to track whether a lean tag has been actioned (implemented, reviewed, not accepted) in Promapp.

    It would be great to see:

  10. Ability to update users profiles using and AD connector

    Promapp has no true AD connection even with SSO. Using the AD connector and a Promapp connector, be able to set Promapp roles and global variations in a dynamic was. so that when new people get hired they can be automatically provisioned in PROMAPP

  11. Risk - Assign Risks To A Role

    I administer the Promapp Risks Module. Risk in the module can only be assigned to a person (name) not to a role. This means there is a lot of manual handling when someone leaves. Treatments can be assigned to a role – which works better because you add the role and the person changes automatically. It would be good if risks could also be assigned to a role (or an individual) the same as treatments. This would reduce manual handling and ensure risks remain current.

  12. Build sort of wizard to help us undo process linkages for deletion

    Perhaps this is just rookie error but my colleagues and I have had very difficult time figuring out all the the linkages between processes and process groups that need to be undone in order to archive and delete. I suspect there could be better prompts or automated breaking of links

  13. Allow users to scroll through map whilst providing feedback

    When providing feedback it would be useful to still be able to select each activity and review it at each step...so you would have the feedback dialogue box open but still be able to click into the activities - so you can provide your feedback on each activity. I tend to open a Word document and type up all my feedback and then open the dialogue box and paste my feedback from Word.

  14. Ability to title documents in document library

    Currently documents in the library inherit their title from the name of the file. You cannot give a title to a document. Add the functionality to title a document, separately from it just inheriting the name of the file. Also currently the only way to change the title of a document is to rename the file and actually upload a new file - hence changing the revision of the document. All very messy.

  16. 'Drag' functionality to quickly add process into the 'process group overview'

    Being able to drag processes into the process group overview instead of having to add each process by selecting it from the list of processes. Once they are all in you can then put them in the right order and assign roles to it.
    This would be so much quicker, user friendly and intuitive (I have noticed that dragging a process from the left hand side of the screen is what new users of Promapp automatically try to do until they learn that this is NOT how it works)

  17. Navigation Buttons

    Similar to the "Back" button request, but a bit more expanded than that.
    Have a "Back" and "Refresh" button, then also have 'breadcrumbs' of your navigation activity (instead of hierarchy of location path).

    For example, if I clicked on Home, then Admin Users settings, then All Documents the 'breadcrumb' will show:
    Home > Users > All Documents

    And they are all hyperlinked so you can jump back to that page when clicking on it in the 'breadcrumb'.

  18. Improve how folder viewing permissions are managed

    It's very difficult to set up viewing permissions... several steps that are tough to follow and remember. Plus even looking at the indented folder structure just below is nearly impossible to do with naked eye. Plus I think I saw inconsistencies in how parent-child indentation was displayed.

  19. Showcase comparison of published versions

    Users must follow discrete instructions to see changes from last published version... Make sure they're on Procedure tab (not offered anywhere else), click Cog icon, then Highlight Changes, then Compare. That's awfully hidden. Wonder if this can be somehow made more obvious.

  20. Ability to export the Groups structure

    To enable an audit of the Groups structure it would be great to have the ability to export that structure out of Promapp and into Excel for example.
    The export could look something like the attached screenshot.
