How can we improve Nintex Workflow?

  1. Action set - Run as workflow owner option to be visible anywhere on the workflow

It was noticed that when the "Action set" action is placed on a workflow in the main stream, the option to run the action set as workflow owner is visible on the configuration of the action.
But if the same action set was placed within a parallel actions, state machine, or any action that has other branches; the option to run with elevated permissions (as workflow owner/the account used to publish the workflow) is no longer visible.
As developing workflows, we expect that an action will behave the same way wherever it is placed within a workflow. I personally believe…

  3. Find Variable or Text

There are some other great suggestions for documentation of variables, but I would also like to see a way in the designer to highlight actions that use a variable. I envision a Search button in the ribbon that opens a search dialog where I could either select a variable from the list of variables in this workflow, or simply type something in a text box. The feature would search the workflow and highlight all the actions that use the variable or contain the text.

The suggestion for finding and removing unused variables (https://nintex.uservoice.com/forums/229405-1-nintex-workflow-for-sharepoint/suggestions/10843149-find-and-remove-unused-variables) identifies the scenario of trying…

  4. Start or End Workflow (Locally / On Another Site / On Another List)

While we have the ability to Start / End a workflow on the local list, the only option we have for starting a Workflow on another Site or List is to use a Web Service Request.

This is terribly convoluted, and extremely inconvenient (especially if there are questions of authentication) for new users.

It would be much nicer if we could have the ease of just pulling an Action into our Designer and being able to configure it much like you would configure any of the other actions that can interact with Off List items.

    Furthermore, please give us the…

  5. Audit Log Files for Nintex Forms & Workflows

Currently there is not audit logs for track workflow changes. It would be helpful to have a functionality that would allow Administrators to monitor activities in SharePoint, Nintex Forms and Nintex Workflows. Essentially something like the Audit logs for SharePoint.

Please provide a feature to track all administrator changes like create, update, delete and publish Nintex forms and workflow.

  6. Allow control over "LazyApproval" labels/display

We have C-level employees approving workflows via LazyApproval. Unfortunately this has a negative context and we are getting pushback by our workflow implementers to see if we can adjust this label.

I see that the emails can be modified, but we are still seeing remnants of that verbage in our approval history.

Is there a way I can modify this? Thank you.

  7. Allow multiple values in Store data action

Currently the store data action only allows one value to be stored. If want to store multiple values to later retrieve need to use the action multiple times. Can Store data action be updated to allow multiple values?

  8. Workflow action to convert Nintex Form to pdf

With the recently release Nintex Forms enterprise feature to print to PDF, it would be great to access this functionality via a Nintex Workflow.
As an example a Nintex Workflow could take a Nintex Form and generate a PDF file to be created in a library.

  9. docusign

Today, the docusign actions allow one user to sign a document. It doesn't allow 2 users to sign the same document (using the same enveloppeID)

HR Example : a new contract is first sent to the new employee for signing and the same contract is sent to the manager for signing. Today the only way of doing it is to send the document twice in tow different envelope.

we leave a few scenario behind

  10. Get previous field value in workflow

As start workflow option to start a workflow you can set the "value differs from the old value" option. Nintex Workflow obviously has access to this information. Within the workflow you can not load the previous value into a variable or something else. That would be nice.

Actually you have to use multiple hidden fields storing the previous value to use in for workflow porposes.

Without going into the technical detail; the previous value made available in conditional start is actually the current value just before any updates are made to the item. When the item is updated, we lose the ability to get the value prior to the update.

To restate the workaround as indicated in the idea; create an additional column in the list or library and update this with the current value of the column of interest. Then when the actual column is updated, the previous value is still available in the additional column. Of course one need not make this additional column visible in the view or Form so the users are not confused.

  11. Add ability to store "Action ID" into a variable in a Flexi Task

Currently available in a Request Approval action but not in a Flexi Task.

  12. Restart Workflow From The Point of Failure

A request I receive frequently is the ability to restart a workflow from it's point of failure instead of from the beginning. It would include the ability to restart from the last successful action.

  13. Export list item data to CSV, including Repeating Section data

A Workflow Action to easily select the columns to export to CSV (attach to an email notification for example) including data in Repeating Sections.

Currently I can do this manually, but very cumbersome and time consuming.

  14. Ability to Change a Managed Metadata column using Workflow Action

Need an action that allows the workflow to change a column that is using a managed metadata term.

Since there *is* apparently a way to do this via web services, how about this as a Feature Request for a new Workflow action?

“The ability to specify a current item column that is set up as Managed Metadata, provide a new (valid) term, query the HiddenTaxonomyList for that term, get the ID and GUID, then update the given current item column.”

This would be a HUGE help to those of us who want to actually USE Managed Terms and provide more…

  15. Improve Web Request action to support new input methods such as JSON

    Hi there

For a long time XML was the de facto standard input notation for web service calls but there have clearly been changes to, and developments in, the available notations.

It would be really good to see some of these new input methods being supported in the web service actions in the workflow product such as JSON.

    Thanks 

  16. Run a workflow on multiple items

A customer had inquired into the ability to run a workflow on several items.

This is available OOTB from Sharepoint, but I came accross the following guide that describes how to do this.

    http://sympmarc.com/2013/01/21/spservices-stories-1-how-to-start-a-workflow-on-multiple-items-in-a-list/

It would be convenient to implement this as a context menu option, to run against several list/library items.

  17. Enabling error handling in Nintex online actions

Nintex workflows for O365 does not have error handling feature for many actions. The typical behavior at SP2013 is that user can choose to handle errors for certain actions. In office 365, Nintex provide a flag for subset of actions. This flag determines weather action succeeded or not.

    Such actions are:
    1. Web Request
    2. Query XML
    3. Update XML
    4. Create item in another site
    5. Delete multiple items
    6. Update multiple items

  18. Enable Skype for Business 2015 with Nintex Workflow

Nintex Workflow works well with Lync 2013 however it would be great to see the product to work with Skype for Business 2015.

Some of the expected features would be to see:
    - Instant message notification
    - Functional Lazy Approval

  19. Workflow to Pause less than 5 Minutes

To have a Pause action that executes based on the action configuration rather than relies on the SharePoint Timer Service (at least 5 minutes)

Unfortunately, the suggestion as worded is not really achievable by the way the platform works. However open to understanding what the higher level need is and the use case as there may be alternative approaches.

  20. Import Holidays

It would be a good idea if it would be possible to import the holidays (Easter, Christmas and so on) from a file (iCal or something) for each year.

Christmas is at the same date every year but Easter and some other Holidays are flexible. So you have to add the flexible Holidays manually which is not fun.
